We are looking for a detail-oriented and proactive Operations Executive with 2–5 years of experience in pharmaceutical operations and billing. The ideal candidate will have hands-on experience managing day-to-day operational activities, pharmaceutical billing processes, documentation, inventory coordination, and order management.
The candidate should be comfortable working in a fast-paced pharmaceutical environment, coordinating with internal teams, vendors, customers, and other stakeholders while ensuring operational accuracy, timely billing, and compliance with established processes.
Requirements
Key Responsibilities
Manage and coordinate day-to-day pharmaceutical operations, ensuring smooth and efficient execution of operational activities.
Handle end-to-end pharmaceutical billing, including invoice generation, verification, corrections, credit/debit notes, and reconciliation.
Prepare and process customer invoices accurately based on orders, quantities, pricing, applicable taxes, and agreed commercial terms.
Verify billing information against purchase orders, delivery documents, stock records, and other relevant documentation.
Coordinate with sales, warehouse, procurement, finance, and logistics teams to ensure timely order processing and billing.
Monitor pharmaceutical orders from processing through dispatch and delivery, resolving operational issues wherever required.
Maintain accurate records of invoices, orders, returns, payments, stock movements, and other operational documents.
Handle billing discrepancies, customer queries, invoice corrections, and payment-related coordination with the finance team.
Assist with inventory and stock coordination, including monitoring stock availability, inward and outward movements, expiry-related information, and product returns.
Coordinate with distributors, suppliers, pharmacies, hospitals, and other business partners as required.
Ensure that operational and billing activities follow internal policies, pharmaceutical industry requirements, and applicable compliance standards.
Prepare daily, weekly, and monthly operational and billing reports for management.
Identify process gaps and recommend improvements to increase operational efficiency and billing accuracy.
Support audits and provide required documentation, reports, invoices, and transaction records.
Maintain confidentiality and accuracy of business, customer, product, and financial information.
Required Skills
Must-Have Skills:
Strong hands-on experience in Pharmaceutical Operations
Practical experience in Pharmaceutical Billing
Strong knowledge of Billing and Invoicing
Experience with order processing and documentation
Understanding of pharmaceutical products, distributors, pharmacies, or healthcare operations
Strong attention to detail and numerical accuracy
Good knowledge of MS Excel and billing/ERP software
Strong coordination and communication skills
Ability to manage multiple operational activities and meet deadlines
Good-to-Have Skills:
Experience with pharmaceutical ERP or billing systems
Knowledge of inventory management and reconciliation
Understanding of GST and basic taxation applicable to billing
Experience handling returns, credit notes, debit notes, and billing adjustments
Exposure to distributor or hospital/pharmacy operations
Experience
2–5 years of relevant experience in pharmaceutical operations, pharmaceutical billing, healthcare operations, distribution, or a related industry.
