Payroll Specialist & Client Support Associate
Position Overview
We are looking for a polished, client -ready Mid -Level Payroll
Specialist & Client Support Associate to join our outsourced payroll
operations team. This role requires both technical payroll processing expertise
across multiple platforms and the professional communication skills to
confidently represent our team in employee -facing interactions and strategic
client meetings. The ideal candidate is equally comfortable running a full
payroll cycle and speaking articulately with a business owner alongside an Account
Executive.
Key Responsibilities
Payroll Processing
• Process accurate and timely payrolls for assigned
client accounts across Prism HCM/HR, ADP Workforce Now (WFN), and Paylocity
• Manage multi -frequency payroll schedules (weekly,
biweekly, semi -monthly, monthly) with precision
• Review and audit payroll inputs including timekeeping
data, deductions, garnishments, and special pay items
• Perform pre - and post -payroll audits to ensure accuracy
prior to transmission and funding
• Process off -cycle payrolls, corrections, and manual
check requests as needed
• Maintain organized payroll records and ensure
documentation is audit -ready at all times
Employee Communication & Support
• Serve as a responsive point of contact for employee
payroll inquiries received via email or phone
• Communicate clearly and professionally in written and
verbal English across all correspondence
• Resolve paycheck discrepancies, direct deposit issues,
tax withholding questions, and related concerns with accuracy and empathy
• Escalate complex issues appropriately while keeping
employees informed of resolution timelines
Client & Account Executive Support
• Partner with the assigned Account Executive as a
technical resource during client meetings with payroll decision -makers and
business owners
• Speak knowledgeably about payroll processes, platform
capabilities, and compliance considerations in a professional, client -facing
setting
• Assist in preparing meeting materials, reports, or
payroll summaries as needed for client discussions
• Help identify client needs or concerns during
interactions and relay relevant information to the account team
Required Qualifications
• 5+ years of payroll processing experience, with
hands -on proficiency in at least two of the following: Prism HCM/HR, ADP
Workforce Now, Paylocity
• Exceptional written and verbal English communication
skills: professional, clear, and client -appropriate in all settings
• Demonstrated experience handling employee payroll
inquiries via email and/or phone
• Strong organizational skills with the ability to manage
multiple client payrolls simultaneously under deadline pressure
• High degree of accuracy and discretion when handling
sensitive employee and compensation data
Preferred Qualifications
• Proficiency across all three platforms: Prism HCM/HR,
ADP Workforce Now, and Paylocity
• Experience working in an outsourced payroll or PEO/HRO
service environment
• Comfort presenting information or participating in
client -facing meetings alongside senior team members
• FPC (Fundamental Payroll Certification) or CPP
(Certified Payroll Professional) designation
• Bilingual abilities are a plus, though fluency in
professional English is required
This role blends behind -the -scenes payroll operations with
visible, client -forward responsibilities. The specialist will work closely with
Account Executives and may join client calls or meetings as a payroll subject
matter resource. Strong interpersonal presence and professional maturity are
essential.
