Job Description - Procurement Officer, Gadchiroli, Maharashtra

Role:   Procurement Officer, Gadchiroli, Maharashtra
Experience: 4-5 years
Salary band: Upto 3.6 LPA

Role Overview:

We are seeking a dedicated and experienced Procurement Officer to ensure efficient and transparent procurement and logistics processes to support project activities at the block level. This role is pivotal in maintaining operational efficiency through timely sourcing, supply management, and coordination with vendors and field teams.

The officer will work closely with the District Project Manager, field teams, and the national team to ensure the smooth execution of program activities, involving the critical supply of rations, medicines, and educational materials.

Key Responsibilities:

1. Procurement & Logistics Coordination

  • Strategic Planning: Plan and coordinate the procurement of goods and services required for project operations to ensure uninterrupted field activities.
  • Vendor Management: Coordinate with vendors and suppliers to ensure timely delivery and adherence to quality requirements. Support the negotiation of rates, timelines, and service terms in line with organizational guidelines.
  • Supply Chain Execution: Collect monthly indents from supervisors and ensure the timely supply of ration, medicines, early childhood education materials, registers, and records to all designated locations.
  • Quality Assurance: Ensure all procurement is conducted as per approved specifications, quality standards, and organizational policies.
  • Performance Monitoring: Maintain vendor performance records and assist in periodic vendor evaluation.

2. Inventory Management & Audits

  • Stock Audits: Conduct monthly stock audits across centers to prevent leakage and ensure accountability.
  • Replenishment: Monitor inventory levels proactively and ensure timely replenishment to avoid stock-outs.

3. Documentation & Compliance

  • Record Keeping: Maintain organized and transparent records of all procurement activities and logistics documentation.
  • Compliance: Ensure strict adherence to procurement guidelines, legal requirements, and internal policies.
  • Audit Support: Support internal and external audits by providing required documentation and explanations as needed.

4. Team Collaboration & Capacity Building

  • Needs Assessment: Work closely with field teams to proactively identify procurement and logistics needs.
  • Training & Support: Provide guidance and timely support to project staff regarding procurement processes and supply-chain requirements.

Required Qualifications & Experience:

Educational Qualifications

  • Graduate degree in Business Administration, Supply Chain Management, Logistics, or a related discipline.

Experience

  • Minimum 4 to 5 years of relevant experience in procurement and logistics management.
  • Experience in the development sector (NGO/Social Impact) handling field-level logistics is highly desirable.

Essential Requirements

  • Mobility: Must be comfortable using a two-wheeler for field travel and possess a valid driving license.
  • Relocation: Willingness to relocate to and reside in one of the assigned blocks.

Key Skills & Competencies

  • Technical Knowledge: Strong understanding of procurement cycles, supply-chain management, and inventory control.
  • IT Proficiency: Proficient in MS Office (Excel, Word, PowerPoint) and other standard IT tools.
  • Communication: Excellent negotiation, communication, and interpersonal skills.
  • Cultural Fit: Ability to work effectively in multi-disciplinary and multi-cultural teams.
  • Language: Fluency in the local tribal dialect is strongly preferred to ensure effective communication with ground-level stakeholders.
  • Reporting: Strong documentation and reporting skills.
