Job Description - Project Support Specialist

Job description

We are looking for a detail-oriented and highly organized Project Support Specialist to join our Central Operations Team (COT) in India.

In this role, you will provide comprehensive administrative, reporting coordination, and system-related operational support to Global Service Operations Team in Switzerland (HQ) , This role acts as a key interface between business stakeholders, Global IT/IS teams, service networks, and external partners to ensure smooth project execution, accurate data handling, effective communication, and efficient system usage.

You will report to the Division Support Manager within the Central Operations Team

Approximately 50% of the role focuses on report coordination, with the remaining 50% dedicated to operational, technical, and administrative support activities.

Your responsibilities

Service Applications Communication

  • execute communications related to: Planned newsletters, System downtime or outages ,Ad-hoc and emergency communications ,Feature pack and release cycle updates

  • Ensure timely and accurate communication to the service network for all service applications.

Report Coordination (~50%)

  • Collect, consolidate, and prioritize reporting requirements from service division stakeholders.

  • Document business and technical requirements in a clear and structured manner.

  • Coordinate with report development teams (IT/IS teams) for dashboard and report creation.

  • Manage report rollout, user communication, and post-deployment support.

  • Handle: User access management, Incident management, Request management for service reports and dashboards

Test Coordination (DevOps)

  • Create and manage DevOps teams for test case execution related to SAP S/4 HANA projects.

  • Function as a DevOps expert to support global Service operations related initiatives.

SharePoint Management

  • Support to Global service Operations team with SharePoint creation, enhancement, and maintenance requirements.

  • Manage and organize interface relevance documents and libraries.

Power Applications Development & Management

  • Support Global service Operations team on requirements related to Power Apps development.

  • Manage and maintain existing Power Apps solutions within Global service Operations team

  • Ensure all app development aligns with IT/IS Citizen Development framework and governance standards.

Accenture Service Activities Management

  • Manage Accenture invoicing activities, including: Timesheet preparation ,Data quality checks ;Approval communication and follow-ups

  • Create Service Entry Sheets (SES) in SAP for Accenture service activities.

  • Manage onboarding and offboarding access for Accenture resources across: DevOps; SharePoint; Timesheet systems; Financial systems

Project Overview & Steering Committee (SteCo) Support

  • Prepare budget vs. actual analysis and financial graphs for SteCo (Steering Committee) calls for SAP S4 HANA and CRM projects.

Master Data Maintenance (CRM)

  • Maintain service network master data in CRM in line with defined standards.

  • Send regular reminders and follow-ups to Heads of Operations for master data updates.

  • Support data quality improvement initiatives.

Ad-hoc & Automation Support

  • Provide ad-hoc operational and administrative support to the Global service operations team across projects.

  • Identify and support opportunities for automation and process improvement.

Your background

  • B.E./B.Tech/ MBA /Diploma in Engg. or other equivalent qualifications

  • 3+ years of experience in project support, operations support, or administrative coordination roles.

  • Strong focus on quality, compliance, and timely delivery.

  • Strong coordination and stakeholder management.

  • Proficient in Microsoft Office (Outlook, Excel, PowerPoint, Word); exposure to CRM and SAP S/4 HANA is an advantage.

  • Familiarity with reporting tools, data analysis, SharePoint, Power Apps, DevOps and Microsoft collaboration tools.

  • Strong communication skills with good command of written and spoken English.
