Job Description

Proposal Administrator

Pune-India

As a proposal administrator you will have to manage the operational proposal, RFQ, Customer PO orders, Co-ordinate with order team, Finance, Tax and Billing team.

You may need to contact distributor/Customer/ Regional partners for prompt action.

You will report to the Team Lead.

Your Responsibilities:

  • Implement processes in compliance with established SOPs and guidelines. Perform a wide variety of administrative/Operational tasks for assigned team(s) and function(s) globally.

  • Gather and summarise enabling data to implement assigned tasks.

  • Provide administrative support on activities related to end-to-end proposal activities

  • Work with required regional and domestic stakeholders to ensure compliance and smooth processing of the activities/processes assigned.

  • Demonstrate accountability for completing work assignments given in the form of process objectives; meet commitments and deadlines.

  • Maintain the confidentiality of sensitive and proprietary technical, financial and commercial information.

  • Present availability on parts if relevant / when requested, working in collaboration with Planning Team through business system interface.

  • Maintain the project/contract/proposals/quotation status in Business systems throughout its lifecycle including creation, material / service supply requests, receipts, invoicing, completion and closure.

  • Extract data (from business systems, SAP / IFS / others) and publish necessary reports required by the various regional stakeholders as per the established cadence & guidelines.

  • Contribute to Root cause analysis for any deviation highlighted by the regional stakeholders, required documentation of the said deviations and responding to audit processes as and when required.

  • Use the various official tools available like conference calls and emails for frequent interaction with peers/ customers and regional stakeholders on discussion related to processes, contracts, feedback, presentations and other updates on a regular basis.

  • Coordinate with multiple teams across organization for required updates, material delivery/availability, receipts, invoicing, completion and closure of project / contracts.

The Essentials - You Will Have:

  • Bachelor's degree in business administration or related field.

  • Hands-on experience with SAP

  • 2+Years of experience in business operations

  • Strong skills in Microsoft Excel (can maintain complex spreadsheets) for working with data, Solving Problem and drawing insight from different sources

  • Understanding of Presales/Proposals

  • A team Player who works well with different departments

  • Experience with handling multiple tasks and shifting priorities

The Preferred - You Might Also Have:

  • 2+ years of Experience working with advance excel, words.

  • Familiarity with Power automate and power apps for process automation and application developments
