Job Description - Recruiting Coordinator Sr Specialist
What You\u2019ll Do\n\nExecutive Hiring Support\n\n * Coordinate end to end executive interview schedules across global time zones.\n * Communicate professionally with candidates, hiring leaders, and search firms.\n * Prepare candidate briefs, interview agendas, and documentation.\n * Maintain accurate candidate data in the ATS and track hiring milestones.\n * Support background checks, reference checks, and offer documentation.\n * Ensure a high touch, premium candidate experience.\n\n\n\nVendor \u0026 Financial Coordination\n\n * Create and manage Purchase Orders for executive search firms and vendors.\n * Draft and track Letters of Engagement / contracts and align with Procurement/Finance.\n * Manage end to end invoice processing\u2014from receipt to payment follow up.\n * Ensure full compliance with procurement and financial policies.\n * Serve as the primary liaison between Talent Acquisition, Procurement, and Finance teams regarding vendor-related matters.\n\n\n\nExecutive-Level Administrative Support\n\n * Provide scheduling, document preparation, and meeting coordination support to executive recruiters or TA leadership.\n * Prepare presentations, dashboards, and reports for leadership updates.\n * Handle confidential information with sensitivity and discretion.\n * Coordinate candidate travel, reimbursements, and logistics as needed.\n\n\n\nOperational \u0026 Administrative Excellence\n\n * Maintain accurate candidate files and documentation in compliance with HR/TA standards.\n * Partner closely with People Operations, HRBPs, and hiring leaders to manage search timelines and priorities.\n * Support onboarding coordination for executive hires across multiple departments.\n * Contribute to process improvements and help maintain executive recruitment best practices.\n\n\n\nWhat You\u2019ll Bring\n\n * 5+ years of experience in recruitment coordination, Executive Assistance, HR operations, or similar roles.\n * Experience supporting senior leaders or C\u2011suite executives.\n * Strong skills in calendar management, Outlook/Teams, MS Office, and collaboration tools.\n * Experience handling POs, invoicing, vendor coordination, or procurement workflows.\n * Excellent communication, professionalism, and stakeholder management skills.\n * Ability to work with discretion, reliability, and a trust-based approach.\n\n\n\nWhat Makes You Successful in This Role\n\n * High attention to detail and accuracy.\n * Ability to manage many moving parts at once.\n * Strong sense of ownership and accountability.\n * Comfort working in fast paced, dynamic environments.\n * A positive, proactive, solutions-oriented mindset.\n\n\n
