JOB PURPOSE/OVERVIEW/SUMMARY:
We are seeking a proactive and detail -oriented Procurement & Production Coordinator to
manage vendor purchasing, coordinate with the sales team, and ensure timely execution and
delivery of customized corporate gifting orders. This role requires strong coordination between
sales, vendors, and internal teams to meet client expectations, manage timelines, and
proactively handle procurement or production challenges.
KEY DELIVERABLES / RESPONSIBILITIES:
Vendor Purchase & Procurement
â Manage end -to -end vendor purchasing for ready -stock and customized gifting
products.
â Coordinate with multiple vendors to confirm stock availability, pricing, MOQs, and
delivery timelines.
â Follow up with vendors to ensure commitments on stock and timelines are honoured.
â Anticipate issues such as stock shortages, production delays, or capacity constraints
and propose alternatives in advance.
â Maintain vendor master data, purchase records, and pricing history.
Sales Order & Client Requirement Fulfillment
â Work closely with the sales team to understand client requirements, urgency, and
delivery expectations.
â Collect complete order details, including product specifications, quantities, branding
methods, timelines, and packaging requirements.
â Provide realistic delivery timelines based on vendor confirmation and production
capacity.
â Act as a key coordination point between sales, vendors, and production teams for
smooth order execution.
Corporate Gifting Knowledge
â Manage sourcing and execution of corporate gifting products across categories such
as electronics, apparel, drinkware, bags, stationery, and accessories.
â Understand the complete corporate gifting lifecycle—from sourcing and customization
to quality checks, packing, and dispatch.
Logo Customization & Production Coordination
â Have a working understanding of logo customization techniques including:
â Screen Printing
â Engraving
â Laser Printing
â UV Printing
â Fabric / Textile Printing
â Coordinate with branding and production vendors to ensure correct logo placement,
size, colour accuracy, and quality.
â Review artwork, mockups, and approvals prior to production.
â Ensure branding quality standards are met before dispatch.
Tools & Systems
â Use Zoho CRM, Zoho Inventory, Zoho Projects, and Zoho Cliq for daily operations, or
demonstrate the ability to adapt quickly to similar ERP/CRM tools.
â Update order status, purchase details, timelines, and notes accurately in systems.
â Track orders and follow -ups using project management tools.
Production & Operations Support
â Monitor production schedules to ensure alignment with committed delivery timelines.
â Coordinate inward materials, branding schedules, and dispatch planning.
â Support quality checks to ensure products meet client and brand standards.
â Assist in resolving last -minute operational challenges related to stock, branding, or
logistics.
Requirements
KEY SKILLS & QUALIFICATIONS PREFERRED:
â 3 to 5 years of Experience in procurement, production coordination, or operations
(preferably in corporate gifting, merchandising, or promotional products).
â Familiarity with branding and customization processes.
â Experience working with ERP/CRM platforms such as Zoho or similar systems.
â Strong coordination and communication skills.
â Ability to manage multiple orders and priorities simultaneously.
â Good negotiation and vendor follow -up skills.
â High attention to detail to prevent requirement mismatches.
â Strong problem -solving and risk -mitigation mindset.
