Job Description - Senior Office Executive

Roche Services & Solutions India (RSSI) is part of the global Roche Services and Solutions (RSS) division of Roche. RSSI operates out of Hyderabad and Chennai locations and houses various business units. The division is rapidly growing and is looking for a strong candidate to join our team.

Role Overview: The Operations & Employee Experience Facilitator

The Senior Office Executive is a dynamic, hands-on role responsible for ensuring the seamless daily operation of the office and enhancing the overall employee experience. This role serves as the crucial link between various departments, managing essential administrative functions, facilities coordination, and critical employee support services. You will contribute directly to maintaining a professional, efficient, and welcoming workplace environment.

The Opportunity

Your responsibilities are organized into five core functional areas:

1. Office Administration & Facility Management

  • Facility Management: Coordinate and oversee day-to-day office maintenance, cleanliness, repairs, and space utilization to ensure a safe and comfortable environment.

  • New Office Set Up: Provide extensive logistical support including site identification, coordinating with Site Network divisions, securing approvals, and managing broker relations.

  • Guest Visit Support: Manage visitor greetings, scheduling, security protocols, and meeting resources.

  • Access Management: Maintain office access control systems and track badges for employees, vendors, and visitors.

  • Procurement Support: Assist in purchasing office supplies and equipment, managing vendor relations, and processing purchase orders under management supervision.

  • Meeting Assistance: Prepare meeting rooms, manage executive calendars, and assist with presentation setups.

2. Logistics & Transportation Management

  • Transportation Management: Oversee employee transportation services (cabs/shuttles), ensuring efficiency and adherence to safety policies.

  • Concur Support: Provide first-level assistance to employees regarding travel and expense reporting via the Concur platform.

3. Employee Engagement

  • New Hire Orientation: Execute administrative onboarding, conduct orientation sessions, and prepare welcome materials.

  • Hiring Support: Assist HR with interview scheduling, candidate logistics, and interview kit preparation.

  • Employee Oriented Activities: Act as the administrative point of contact for internal clubs and committees, assisting with event planning and budget tracking.

4. Inter-Departmental Coordination

  • Coordination with IT: Act as the local liaison for basic IT setup, equipment handover, and raising technical support tickets.

  • Support Compliance: Assist in documenting and communicating office policies, safety protocols, and regulatory requirements.

Who You Are

  • You hold a Bachelor’s degree in any field (Business Administration or Management specialization is a plus).

  • You have 10+ years of proven experience in an Office Executive, Office Manager, or Administrative Assistant role, preferably within a corporate or multinational setting.

  • You are competent in MS Office Suite/G Suite and have the ability to learn platforms like Concur and visitor management systems.

  • You possess strong organizational acumen, excellent communication skills, and a proactive approach to problem-solving.

  • You have demonstrated experience in managing large facilities and coordinating logistics for medium to large teams.

  • You are required to be present in the office 5 days a week and are comfortable with occasional travel within Hyderabad or to other Roche sites in India.
