Position summary

The Senior Officer – Operations is responsible for coordinating and executing import and export shipments, ensuring timely documentation, customs coordination, transportation planning, shipping line and airline coordination, overseas agent communication, and complete shipment lifecycle management from booking to delivery. The role requires strong operational knowledge, attention to detail, and the ability to manage multiple shipments simultaneously.

Key responsibilities

Shipment execution

• Handle end-to-end execution of ocean and air import/export shipments.
  
• Coordinate with shipping lines, airlines, transporters, customs brokers, CFS/ICDs, warehouses, and overseas agents.
  
• Arrange bookings, container planning, vessel scheduling, and shipment movement.
  
• Monitor shipment milestones and ensure timely movement of cargo.
  

Documentation

• Prepare and verify shipping documents including Bill of Lading instructions, shipping bills, commercial invoices, packing lists, delivery orders, arrival notices, and other related documents.
  
• Ensure documentation accuracy and compliance with customer and regulatory requirements.
  
• Coordinate amendments and corrections with carriers and overseas partners.
  

Customs and regulatory coordination

• Coordinate customs clearance with customs brokers.
  
• Ensure timely submission of required documents.
  
• Track customs examination, clearance, and release status.
  
• Maintain compliance with customs and trade regulations.
  

Customer coordination

• Act as the operational point of contact for assigned customers.
  
• Provide shipment updates and proactive communication.
  
• Resolve operational issues and customer queries promptly.
  
• Ensure high levels of customer satisfaction.
  

Overseas agent coordination

• Coordinate with overseas agents for shipment planning and execution.
  
• Follow up on documentation, cargo release, transshipment, and destination activities.
  
• Ensure smooth communication across origin and destination offices.
  

Transportation and delivery

• Coordinate first-mile and last-mile transportation.
  
• Arrange container pickup, delivery scheduling, and empty container returns.
  
• Monitor detention, demurrage, and transportation timelines.
  
• Optimize transportation costs and turnaround time.
  

Cost control and operational efficiency

• Verify vendor invoices and operational costs.
  
• Monitor detention, demurrage, storage, and ancillary charges.
  
• Escalate cost-impacting operational delays.
  
• Support process improvement initiatives.
  

MIS and reporting

• Update shipments in the ERP/operations system.
  
• Prepare daily shipment status reports.
  
• Maintain operational records and documentation.
  
• Track shipment KPIs and operational performance.

Requirements

Qualifications

• Graduate in any discipline.
  
• Diploma or degree in Logistics, Supply Chain, Shipping, or International Trade preferred.
  

Experience

• 3–6 years of experience in freight forwarding or logistics operations.
  
• Experience in ocean exports/imports, air freight, customs coordination, and transportation operations.
  
• Experience with shipping lines, CFS/ICDs, and overseas agent coordination is preferred.
  

Required skills
