Job Overview:
The Senior Procurement Admin works closely with their team and occasionally other teams, modifying work practices and processes to achieve results or improve efficiency. They can communicate technical Procurement information with the team.
Key Tasks and Responsibilities:
Provide administrative support to the department leadership and team members.
Assist with onboarding and offboarding activities for department employees.
Manage department calendars, organize team meetings, town halls, workshops, and departmental events.
Prepare Agenda and maintain Minutes of Meetings for departmental meetings
Coordinate travel arrangements, visa processing, accommodation, and expense claims.
Update Periodically the Organization Charts and Resource Planning for the Department
Coordinate with stakeholders to collate KPI Data and update the Dashboard on periodic basis
Prepare, maintain, and distribute departmental reports, presentations, and documentation.
Monitor timesheet compliance and send reminders to employees for pending submissions/approvals.
Support departmental communications and distribute announcements, updates, and action items.
Monitor action trackers and follow up with stakeholders to ensure timely completion of tasks.
Manage access requests, facility/ IT coordination, and workplace-related administrative activities.
Support audits by maintaining records and providing required documentation.
Handle confidential information with professionalism and discretion.
