I. Purpose of Position

Responsible for delivering efficient service operations, office administration, customer support, logistics coordination, customs compliance, and vendor management while ensuring operational excellence and superior customer experience.

II. Key Responsibilities

Service Administration

  • Drive sales, renewals, and lifecycle management of service contracts, AMCs, calibration, and support agreements.
  • Prepare quotations, invoices, commercial documentation, and customer communications.
  • Manage end-to-end service order processing, billing, documentation, and closure in ERP/CRM systems.
  • Serve as the primary contact for service-related customer inquiries via phone and email.
  • Coordinate with service engineers, sales teams, customers, and internal stakeholders to ensure timely service delivery.
  • Track service KPIs, contract renewals, open cases, and customer satisfaction metrics.

Customs Clearance & Logistics

  • Coordinate domestic and international shipments of instruments, spares, consumables, and demo assets.
  • Manage import/export documentation including invoices, packing lists, shipping documents, HS codes, and regulatory paperwork.
  • Liaise with freight forwarders, courier partners, customs brokers, and customs authorities for timely clearance.
  • Handle BOE processing, duty payments, shipment tracking, and resolution of customs/documentation issues.
  • Ensure compliance with import/export regulations and maintain complete logistics records.

Inventory & Asset Management

  • Manage inventory of spares, consumables, calibration standards, demo units, and office assets.
  • Monitor stock levels, replenishment, reconciliation, asset tracking, and periodic audits.

Office Administration

  • Oversee daily office operations, facility management, and workplace administration.
  • Manage statutory compliance, audits, tax documentation, and compliance under the Shops and Establishments Act.
  • Monitor office budgets, expenses, procurement, and vendor contracts.
  • Coordinate meetings, workshops, travel arrangements, conferences, and office events.

Vendor & Stakeholder Management

  • Manage vendors, logistics partners, customs agents, and service providers, ensuring SLA and cost compliance.
  • Collaborate with finance, sales, service, procurement, and leadership teams to support business operations.

Qualifications & Competencies

  • Bachelor’s degree in business, Commerce, Operations, Supply Chain, or related field.
  • 5+ years of experience in service administration, office operations, logistics, or customer operations.
  • Strong knowledge of customs clearance, logistics documentation, ERP/CRM systems, and Microsoft Excel.
  • Excellent communication, organization, stakeholder management, problem-solving, and continuous improvement mindset.
