We are looking for a confident, well-presented, and customer-focused Front Desk Executive to manage the reception and front-office operations of a skin, hair, and aesthetic clinic. The ideal candidate will be the first point of contact for patients and visitors and should create a warm, professional, and welcoming experience.

The role requires excellent communication skills, a pleasant personality, strong organizational abilities, and the ability to manage multiple front-desk responsibilities efficiently in a healthcare environment.

Key Responsibilities

• Manage the clinic reception and serve as the first point of contact for patients and visitors.
• Welcome patients and guests in a warm, professional, and courteous manner.
• Handle patient inquiries through in-person interactions, phone calls, and other communication channels.
• Schedule, confirm, reschedule, and coordinate patient appointments.
• Maintain accurate patient and appointment records.
• Coordinate with doctors, consultants, therapists, and clinic staff to ensure smooth patient flow.
• Manage patient check-ins and check-outs efficiently.
• Provide patients with relevant information regarding appointments, procedures, and clinic services.
• Maintain a clean, organized, and professional reception area.
• Handle basic administrative and front-office responsibilities.
• Assist with billing, payment coordination, receipts, and other front-desk transactions when required.
• Follow clinic policies and maintain confidentiality of patient information.
• Handle patient concerns professionally and escalate issues to the appropriate team when required.
• Maintain daily appointment schedules and ensure timely coordination with the clinical team.
• Support overall clinic operations and contribute to a positive patient experience.

What Makes You a Great Fit

• 2+ years of experience in front desk, reception, customer service, or clinic administration.
• Prior experience in a healthcare, dermatology, skin clinic, aesthetic clinic, wellness, cosmetology, or similar environment is preferred.
• Excellent spoken and written English communication skills.
• Pleasant, confident, and professional personality with strong interpersonal skills.
• Strong customer-service orientation and the ability to make patients feel comfortable and valued.
• Well-groomed and professionally presented.
• Strong organizational skills with the ability to manage appointments and multiple tasks simultaneously.
• Comfortable interacting with patients from diverse backgrounds.
• Ability to remain calm and professional while handling busy reception areas or challenging situations.
• Basic computer skills and familiarity with appointment scheduling or clinic management systems.
• Strong attention to detail and accuracy in maintaining records.
• Reliable, punctual, and comfortable working in a patient-facing environment.
• Willingness to work the required 10:00 AM–8:00 PM schedule.
