Submission Officer-Japanese Speaking

Key Responsibilities

• Review and verify visa application documents for accuracy and completeness.


• Submit visa applications to embassies, consulates, and relevant authorities.


• Communicate with Japanese-speaking applicants regarding documentation requirements and application status.


• Provide translation and interpretation support (Japanese ↔ English) when required.


• Maintain accurate records and update internal systems with application progress.


• Coordinate with internal teams to ensure timely processing of applications.


• Follow embassy and consulate guidelines and ensure compliance with visa regulations.


• Resolve applicant queries professionally through email, phone, or in person.


• Handle confidential information with a high level of integrity.


• Monitor application timelines and escalate any delays or issues.

Qualifications

• Bachelor's degree in any discipline.


• Japanese language proficiency (JLPT N2 or N1 preferred).


• 1–3 years of experience in visa processing, immigration services, customer service, or a related field.


• Excellent communication skills in Japanese and English (spoken and written).


• Good knowledge of Microsoft Office (Excel, Word, Outlook).


• Strong attention to detail and organizational skills.


• Ability to work under pressure and manage multiple applications simultaneously.

Preferred Skills

• Experience working with visa application centres (VAC) or immigration/consular services.


• Knowledge of Japanese visa documentation and immigration procedures.


• Strong customer service and problem-solving abilities.


• Ability to work independently as well as in a team.
