Role: Payroll, Benefits & HR Operations Department: Human Resources Location: Mumbai Reporting To: Manager – Human Resources Company: Supreme Universal About the Role Supreme Universal is looking to strengthen its Human Resources function through the addition of a detail-oriented and process-driven professional who will be responsible for end-to-end payroll administration, employee benefits management, HRMS governance, and employee expense administration. The role requires strong operational discipline, high standards of accuracy and confidentiality, and the ability to coordinate seamlessly with employees, finance, statutory consultants, and internal stakeholders. The incumbent will play a critical role in ensuring timely payroll processing, statutory compliance, employee reimbursements, benefits administration, and HR data integrity. Key Responsibilities 1. Payroll Management Manage end-to-end monthly payroll processing for all employees across locations. Validate payroll inputs including attendance, leave records, salary revisions, incentives, reimbursements, recoveries, full & final settlements, bonuses, and statutory deductions. Coordinate with the Finance team for payroll closures, salary disbursement timelines, and reconciliation. Ensure payroll processing accuracy with zero tolerance for errors and delays. Prepare and maintain payroll MIS, reconciliation reports, and variance analysis. Address employee payroll-related queries in a timely and professional manner. Ensure confidentiality and security of payroll data at all times. 2. Statutory Compliance & Benefits Administration Administer statutory compliances including: o Provident Fund (PF) o Employee State Insurance (ESIC), where applicable o Professional Tax (PT) o Labour Welfare Fund (LWF) o Tax Deducted at Source (TDS) o Gratuity and leave encashment calculations Coordinate with payroll consultants, auditors, and statutory authorities as required. Ensure timely filing, documentation, challan management, and compliance reporting. Manage employee insurance policies including Group Mediclaim, Group Personal Accident, and other employee welfare schemes. Coordinate employee onboarding/offboarding formalities related to benefits and insurance. Support annual compensation structuring and tax declaration processes. 3. Employee Expense & Reimbursement Management Manage employee reimbursements and expense claims through the HRMS platform. Review and verify supporting documents, approvals, and policy adherence for all claims. Coordinate with department heads and Finance for approvals and settlement. Track pending claims, recoveries, and exceptions. Ensure accurate accounting alignment and audit-ready documentation. Recommend process improvements for employee expense management and policy compliance. 4. HRMS Administration & Data Governance Act as the HRMS process owner for payroll, reimbursements, employee records, and benefits modules. Ensure data accuracy, completeness, and regular audits within the HRMS platform. Coordinate with HRMS vendors for issue resolution, workflow enhancements, and process automation. Generate HR dashboards and reports related to payroll, headcount, cost analysis, reimbursements, and employee benefits. Support implementation and stabilization of new HRMS functionalities and automation initiatives. 5. HR Operations Support Support employee lifecycle processes including onboarding documentation, confirmations, transfers, separations, and final settlements. Maintain employee records and statutory documentation in compliance with organizational and legal requirements. Assist in HR audits and internal compliance reviews. Contribute towards process standardization and continuous improvement initiatives within HR Operations. Desired Candidate Profile Educational Qualification Bachelor’s degree in Commerce, Finance, Human Resources, or related discipline. MBA / PGDM in Human Resources or Finance will be preferred. Experience 4 to 8 years of relevant experience in payroll, benefits administration, HR operations, and HRMS management. Prior experience in real estate, construction, infrastructure, or project-driven organizations will be an advantage. Experience in handling payroll for a medium-to-large workforce preferred. Technical Skills Strong understanding of payroll processing, statutory compliance, and employee taxation. Hands-on experience with HRMS/payroll software such as Darwinbox, SAP, Oracle, GreytHR, or similar platforms. Strong proficiency in Microsoft Excel including formulas, pivots, reconciliations, and reporting. Understanding of reimbursement workflows and audit controls.
