Administrative Lead – Permanent – Dublin 4

Here at Osborne, we are currently recruiting for an Administration Lead to join our client’s growing team. Our client is an established, Irish registered charity with a legacy spanning over 60 years. Our client offers a range of support services including education in schools and professional counselling.
The successful candidate will have prior experience within a leadership position in an office environment and have strong knowledge of the not-for-profit sector The Administrative Lead will oversee a small team of administrators, ensuring smooth operations. This role involves close collaboration with the senior management team.
You'll lead and empower a dedicated team of administrators, fostering a positive and collaborative work environment. From managing schedules and data to overseeing office operations, you'll wear many hats and have the opportunity to make a significant impact across different areas.

Salary : €40k – €45k 

Responsibilities:

  • Scheduling cross departmental meetings for senior management.
  • Organising meeting packs, setting the agenda, taking and circulating minutes as required. 
  • Updating and maintaining the website and administrative platforms as needed.
  • Assisting in the production of presentations and reports for senior management
  • Organising staff inductions, onboarding, resignations, and retirements
  • Managing the administration team roster and performance
  • Diary and appointment management on behalf of the organisation 
  • Ensure client contracts and forms are completed
  • Handling telephone and email inquiries regarding services and courses
  • Ensuring accurate data entry and client information management on the CRM.
  • Liaising with the Finance Team to prepare reports, gather statistics and ensure company compliance
  • Prepare and distribute client materials and surveys as needed 

Requirements:

  • A minimum of 5 years’ administrative experience with at least 3 years within a leadership position in an office environment.
  • Understanding and commitment to the organization’s ethos
  • Previous experience taking and circulating minutes of meetings.
  • Experience managing social media channels and website.
  • Excellent report writing and data management skills
  • Strong communication skills (written and verbal) for social media, websites, and newsletters
  • Proficient in Microsoft 365, CRM systems and databases

  • Quick learner with adaptability to new IT systems (training provided)
  • A full clean driver’s license – please note that travel to 4 centres within the Dublin area may be required on occasion (mileage included)
