Contract/ Permanent: Contract - 3 months

Overview:
Ergo client is currently seeking a Concierge Team Scheduler/Planner to be part of a project team which you will play a key role in the successful rollout of Microsoft Intune for Mobile Device Management.
This role will be for an initial 3-month contract based out of client head office in Dublin 2. You will be part of the Microsoft 365 Implementation project team. This team is comprised of internal Client staff as well as external vendors and contract staff. This is a key role, and we are seeking someone who will have a record in dealing with customers in a polite, patient, and helpful manner. Organisational and planning skills are essential for the success of this role. The ability to look for workarounds and seek solutions will be expected as each situation with a customer may be a bit different. The customer experience is key, and we are looking for a person that will create a positive customer experience. This will be an onsite role Monday to Friday. There may be an option to eventually convert to a Permanent role if suitable thereafter.

Role & Responsibilities:

  • Scheduling the work of 3 Concierge Engineers ensuring their appointments with client colleagues are scheduled in their Microsoft Outlook calendars.
  • Arranging appointments with Client Colleagues for a Concierge appointment at a time that suits them. This will involve using MS Outlook calendar to check their availability and sending a meeting invitation.
  • Responsible for ensuring the Engineers have a full schedule of appointments confirmed for each day and re-scheduling appointments as required.
  • Follow-up with the Concierge Engineer and the Client colleague to confirm the appointments are booked.
  • Ensure that the Engineer in Cork is scheduled for appointments with Cork-based Client colleagues.
  • Email/phone calls to Client colleagues to check locations and times that are suitable - in cases where a meeting invite is repeatedly declined or not responded.
  • Maintain an ongoing log (spreadsheet) that serves as a record and metrics for the Concierge Team which includes:
  • Client Colleague Name, Location, Date of Appointment, Concierge Engineer Name assigned, any issues arising from the Appointment, Status of the appointment (Scheduled or Complete)
  • Total no. of appointments scheduled.
  • Total no. of appointments completed.
  • Additional project administration tasks may also be required from time to time, as requested by the Project manager.

Skills, Qualifications & Experience Required: Essential
Competent level of skill in the following areas:

  • Industry / Professional Certification (Microsoft/ Office 365).
  • At least two years hands-on experience of using Microsoft 365 products.
  • Proven experience in a similar role - planning/organising/diary entries/scheduling workloads for a team.
  • Experience of producing management reports/metrics/status updates
  • Proven ability to multi-task and look for efficiency's in a role and across the team.

Skills, Qualifications & Experience Required: Essential
