Job Description - Golf Club Manager

ROLE SUMMARY

  • The Manager will be responsible for the smooth running of the club , will have a strong customer service ethos and a vested interest in promoting the club by driving green fee income and new membership revenue.
  • Office administration staff and the Head Greenkeeper will report directly to the Manager.
  • The Manager will report to the Management Committee and will attend meetings of the Management Committee and General Meetings of the Club.

ROLE RESPONSIBILITIES

The Manager will be responsible for:

Operations

  • The effective and efficient management of the day to day affairs of the Club including the development and implementation of all procedures required for the smooth running of the various club systems eg member databases, EPOS, bar license etc.
  • Liaising with bar and catering contractors, club professional, Men’s and Ladies’ Clubs and any other contractors from time to time
  • Ensuring the maintenance of club facilities to the appropriate standards
  • Engagement, processing of applications and on-boarding of new members
  • Coordinating, managing and organising visitor bookings with the club professional
  • Implementing decisions of the Management Committee
  • Ensuring compliance with all Statutory/Local Government Regulations including the Health & Safety at Work Act, GDPR etc.

Financial and ICT systems

  • Ensuring the club books and records are accurate, complete and up to date including all receipts, bank lodgements, creditors and wages payments;
  • Processing the club wages and salaries weekly / monthly;
  • Liaising with the club accountant to produce monthly management accounts and such other management information as may be requested by the Management committee;
  • Controlling expenditure within the approved budget and in accordance with expenditure approval criteria;
  • Ensuring all computer systems, telecommunications and office equipment are functioning properly and backed up as appropriate.

Marketing and Sales

  • Building strong relationships with the members by offering an efficient and friendly service with timely responses to queries and concerns
  • Working with the Sales and Marketing committee to:
    • develop and facilitate the implementation of Sales and Marketing activities to promote the club and club facilities to both new members and visitors and
    • coordinate the updating of the website, Social media and member communications
  • Liaising with the Men’s and Ladies Club Committees regarding course allocations

Governance

  • Keeping the Constitution and Bye-Laws governing the management of the Club up to date, incorporating such changes as are agreed from time to time.
  • Maintaining all minutes, legal and financial records and returns of the Club.
  • Being available to attend at Sub Committee Meetings at the direction of the Club Chairman.
  • Keeping the President and Captains of the Men’s and Ladies Clubs, the Chairman and Hon Secretary of the Management Committee fully informed of all relevant matters.

KEY COMPETENCIES

  • Excellent leadership, communication and influencing skills.
  • Detail-oriented with strong organizational skills and a proven ability to work independently.
  • Previous Golf Club Management experience, essential.
