Job Description - Personal Assistant

The Role

My client, one of Ireland's most recognisable non-profit organisations is seeking an experienced Personal Assistant to join their team based in South Dublin. This is a full-time, permanent position.

As the Personal Assistant you will provide administrative support to the Director of People & Culture and the wider HR Leadership Team. You will be responsible for resource coordination, scheduling, record keeping and ensuring compliance with government and safety regulations.

Tasks & Duties

  • Serving as the primary liaison for internal and external inquiries directed to the People and Culture Leadership Team, responsible for making decisions on behalf of the team and coordinating follow-ups to ensure seamless departmental operations.
  • Provide a thorough administrative support service to the People and Culture Leadership Team, ensuring the department's smooth operation. This includes drafting responses to correspondence, formatting documents, coordinating reports and presentations, organising meeting materials for the Director, managing filing systems, conducting mail merges, procuring stationery, arranging travel, and conducting research on pertinent topics.
  • Manage the Director's schedule comprehensively, overseeing appointments, conferences, events, and itinerary reviews, while also arranging all travel logistics to ensure precise scheduling and organisation.
  • Tasked with overseeing ad-hoc projects, which involves scheduling regular meetings, documenting decisions such as assigned tasks and next steps, and dividing projects into manageable tasks with clear time frames and objectives.
  • Demonstrate discretion, tact, diplomacy, and integrity to maintain professionalism in all interactions, particularly when handling confidential and sensitive information.
  • Responsible for managing the tracking and processing of department invoices, expense reports, and other financial documentation.
  • Manage the attendance records of the People & Culture staff, including annual leave, sick leave, paternity, and maternity leave, while ensuring the HR systems are updated accordingly.
  • Serve as the designated Super User for the policy management software, Metacompliance. Responsibilities include updating HR policies and procedures before expiration, uploading policies to the Metacompliance system, and tracking and reporting staff attestation and responses.

Experience, Knowledge & Qualifications

  • 2-3 years' experience as a Personal Assistant at senior level - essential.
  • Educated to diploma/certificate level in a relevant discipline or equivalent experience.
  • Experience of managing projects, events and large multi- functional meetings in a complex stakeholder environment. Certified in project management would be highly desirable.
  • Experience in making informed independent decisions displaying high levels of initiative
  • Capable of effectively collaborating in both in-person and remote team environments, fostering positive working relationships.
  • The ability to maintain the confidentially of highly sensitive material with tact and professionalism
  • Proficient in Microsoft Office (Excel, Word, Visio & PowerPoint) and excellent working knowledge of a wide range of communications solutions
  • High degree of efficiency, attention to detail & excellent organisational skills
  • Excellent written & verbal communications skills
