TCP Homecare is a healthcare service provider, specialising in 'direct to patient services' which include the dispensing and distribution of pharmaceutical products, homecare nursing services and sharps waste management, facilitating a unique turnkey solution for the delivery of hospital care in the patient's home.
The Procurement and Inventory Coordinator is responsible for overseeing the procurement of stocks and ancillary's ensuring value for money for TCP in line with company processes and SOPs while maintaining associated databases and delivering structured and systematic reports.
Key Responsibilities:
- Maintain an up to date data base of the price of drug and ancillary's and take responsibility for the procurement process in ordering and managing stock. Providing stock reports as and when required. Rationalising orders and forecasting stock needs.
- Liaise with clients on stock levels, generate and distribute stock reports at agreed time period or when required.
- Responsible for the re-organisation of the stores to include labelling and pick locations
- Managing all nurse stock, liaising with nurse managers, sourcing of nurse stock/equipment
- Ensure all processes and SOPs concerning Goods In and Ordering are relevant and up to date
- Provide training in relation to stock management to warehouse and pharmacy staff upon request.
- Responsible for the on-going review of stock and ancillary pricing and negotiation of such.
- Conduct stock and system spot checks, implementing any adjustments or corrective action arising from audits. Ensure that stock count and valuation is accurate and correct.
- Tracking of deliveries to patients were appropriate.
- Work in conjunction with Quality and IT department during IT testing on stock.
- Liaise with Finance department in relation to stock level reports and invoicing.
- Managing the invoice approval process, ensuring 3 step verification (Delivery documentation, PO Summary & Invoice) is completed when approving invoice payment.
- Produce month end PO report identifying what is open in terms of stock
- Assist in ensuring that continuing quality systems are implemented and maintained within the TCP Group.
- Work within a temperature controlled environment (fridge unit) at interval periods.
- Ensure the correct storage of medicines at all times.
- Managing the Asset Management process, procurement of new assets, arrangement of recalibrations and managing recalibrated assets back on to the system after Quality approval.
- Be responsible for adherence to GDP standards for receipt and storage of medicines. Support the RP/Superintendent Pharmacist in the maintenance of the Quality Management System in relation to stock management.
- Contribute to monthly KPIs and work towards continuous improvement.
- Maintain customer and patient confidentiality at all times.
- Report all adverse events and product complaints promptly in line with Pharmacovigilance procedures and current legislation.
- Represent self in a professional and ethical manner at all times, complying with all applicable company policy and procedures.
Key Competencies:
- Procurement, purchasing or accounts skills/background
- Familiarity or knowledge of medical terminology
- Strong PC, administration, interpersonal and communication skills
- Preferred knowledge of FMD (GS1 serialisation)
- Batch tracking to item level and serialisation
- Experience with asset management
- Intermediate to strong excel skills
- Ideally will have a 3 rd level qualification in Logistics/Procurement
