The new all-island dance company (name to be announced) is seeking to recruit an experienced Programme Administrator to join our team. The Programme Administrator will play a crucial role in ensuring the smooth and efficient running of projects, productions and tours. This is an exciting opportunity for someone with a passion for the arts and a desire to contribute to the success of Ireland’s new all-island dance company from the ground up.

About Us

The Arts Council of Ireland has recently announced the creation of a new all-island dance company, marking a transformative and significant moment for dance in Ireland. After a competitive selection process, a team led by Liz Roche Company, with foundational strategic partners Maiden Voyage Dance and the Irish World Academy of Music and Dance, University of Limerick, was appointed to form the company. This team comes with a wealth of knowledge and expertise in dance, both nationally and internationally.

We are now in the process of creating a flagship dance company, recognised at home and abroad, that will offer distinctive high-quality experiences for dance artists and audiences. This new company will provide an island-wide platform for dance, collaboration and development, seeking to strengthen the existing dance ecosystem, develop the artform and develop pathways for artists to create work of scale and ambition.

The company’s remit is island-wide but will be based in Dublin for this phase of its development.

The Role

The Programme Administrator will work with and report to the Creative and Executive Producer and will take care of planning, scheduling and logistics for the creative programme. Working closely with colleagues within the Artistic and Production departments, the Programme Administrator will manage permanent and freelance artists’ interactions with the company, from contracting through to performance and touring of productions and other projects.

Main Duties & Responsibilities

Support the Creative & Executive Producer and the Artistic Director in creating and managing tour schedules.
Liaise with artists, venues and partners to understand needs and requirements of all collaborators and streamline effective communication between all stakeholders. Arrange travel and accommodation for tours and visiting artists. Arrange visas and permits as required.

Provide administrative support to the production team.
Assist in drafting and issuing contracts to freelancers and creative teams.
Support in the coordination of participatory programmes, events and workshops, prioritising artist and participant wellbeing.
Support the smooth running of the company by keeping and contributing to good records, including project timelines, email threads and production schedules.
Assist with the coordination of auditions and other company events.
Act as the main point of contact for artists including creative teams, cast and others as appropriate. Attend rehearsals when needed.

Person Specification

We are building a diverse team of highly skilled and committed people. All staff members are expected to contribute to the company’s success and engage in the life of the company. The ideal candidate will possess excellent organisational skills and demonstrate great attention to detail. They will have the ability to communicate effectively with artists, company members and colleagues. They will have the ability to manage multiple projects simultaneously and keep impeccable records. They will work well under pressure. They will have an understanding and working knowledge of the arts and culture sectors with a knowledge and interest in contemporary dance a distinct advantage. They will have flexibility to work evenings and weekends as required during peak production periods.

Skills and Experience

At least three years’ experience in arts administration, preferably within a dance or a performing arts organisation.
Strong organisational and time management skills, with the ability to multi-task and prioritise effectively in a fast-paced environment.

Excellent and demonstrable digital skills, mainly in Microsoft Office Suite and other relevant software applications.
Experience of managing budgets and of financial reporting.
Knowledge of production logistics and technical requirements for live performances is desirable.

Some experience in delivering events and public engagement projects would be an advantage.

Terms

Contract: The Programme Administrator is a Full-time role (37.5 hours per week) working mainly Monday - Friday, however occasional weekend and evening work will be required.

Location: The role is primarily based at the company’s base in Dublin but a hybrid working plan can be negotiated. As this is a newly forming company there is an expectation that a significant portion of the working hours will be required to be in person.

Salary: Commensurate with skills and experience up to €40K per annum. Pension contributions will be made after one year of service.

Holiday entitlement: 20 days paid annual leave in addition to public holidays.

Probation and Notice: This post carries a probationary period of six months, during which time the notice period required by either party is two weeks. Subsequent to a satisfactory review, the notice period is increased to two months.

The company will develop a training and personal development policy.
