Early Childhood Ireland is recruiting for a Receptionist.

Early Childhood Ireland is the leading children’s advocacy and membership organisation. LOCATION:

Our national office is based at Tallaght in south Dublin.

MODEL OF WORKING:

This role is office based and not eligible for a blended working model.

Job Purpose

The key function of the Reception role is to facilitate the members, service users and other stakeholders needs both in person and on the telephone, while maintaining excellent customer service levels. They will further enhance the service we provide to our members and service users, playing a pivotal role in the achievement of our mission, which is to support and empower our members to provide the highest quality Early Learning and Care and School Age Childcare services for children. 

It is critical that the role holder has sound knowledge of all the work of Early Childhood Ireland and is a self-starter who knows exactly where to find the answers or how to direct queries whilst maintaining a positive and calm demeanour. This is a sensitive role which requires an individual with the ability to handle confidential information and empathise with our members and service users with a compassionate, professional public image and the ability to liaise and communicate at all levels with sincerity, warmth, efficiency, and flexibility is essential.

Responsibilities

  • Reception: Be the first point of contact for members and service users by answering incoming calls promptly in a friendly and professional manner, triaging, responding, or directing calls to the relevant team
  • Data Administration: Logging all calls on CRM ensuring compliance with data protection laws whilst classifying, collating, and storing information and compiling monthly and quarterly reports
  • Managing a number of email boxes, triaging, responding, or directing emails to the relevant department 
  • Providing excellent customer service to our members and service users, ensuring we meet their evolving needs and expectations to include supporting members and service users with Shop queries
  • Assisting the Garda Vetting team with Garda Vetting administration as needed
  • Participate in training programs and workshops to enhance knowledge and skills related to compliance and stay updated with changes in legislation and best practices related to Garda Vetting
  • Provide ongoing support to the online shop to include packing and posting of orders and order processing as required 
  • Provide support to the membership team during the renewal period 
  • Day-to-day ad hoc administration and secretarial tasks to support the Membership, Excellence & Learning Team and wider organisation
  • Project work as required

Office Duties

  • Meeting & greeting visitors – in accordance with visitor protocols
  • Logging, sorting, and distributing the daily post as appropriate 
  • Maintaining a neat and tidy reception area and responsible for good housekeeping practices ensuring safety, cleanliness and tidiness are displayed
  • Ensuring meeting rooms are prepared in advance of all meetings
  • Undertake any other such relevant duties as may from time to time arise and are considered appropriate.

Skills and Experience required

  • Previous receptionist experience, minimum one year
  • Proficiency in using CRM
  • Strong IT skills with proven experience using Microsoft Office [Word, Excel, Power Point and Outlook]
  • Knowledge/background in the early years sector would be a distinct advantage
  • Proven understanding of what good customer service looks like
  • Ability to maintain efficient and effective administrative and information systems
  • High level of discretion and confidentiality when handling sensitive information or matters
  • Comfortable working effectively as part of a team in pursuit of common goals, as well as to work independently
  • Capacity to build and maintain good working relationships with colleagues, members, and external personnel
  • Capable of working under pressure, managing competing priorities and maintaining a professional approach within a team context

Contract details

This is a one-year fixed term post reporting to the Membership Manager subject to funding, and the probationary period is six months.

Salary:

A salary in the range is offered €26,186 to €28,207. The agreed salary will be commensurate with qualifications and experience.

Hours of Work 

35 hour working week.  The position will also require participation in some meetings/events in the evenings and at weekends.
