Job Description - Supply Chain Operations Specialist with Italian

Overview

The primary responsibility of the Supply Chain Operations Specialist is to liaise with internal and external contacts to facilitate the timely supply of finished goods to the end customer. The role is also responsible for monitoring and analysing many areas of the supply chain, including but not limited to, shipping information, freight carrier performance, backorder management, and channelling communication updates on the different statuses of Cook products during their lifecycle

Responsibilities

  • Finished Goods Supply
  • Proactively liaise with Manufacturers and Distribution Centres globally to ensure inventory levels are maintained at the EMEA Delivery Centre.
  • Proactively monitor inventory and take appropriate action to solve supply issues.
  • Support the various Cook Medical functions with query management for order fulfilment issues, including but not limited to Customer Support, Divisions, Finance and the Delivery Centres.
  • Monitor supplies of finished goods to ensure up-to-date information is available on the ERP system, to provide customer feedback.
  • Backorder management
  • Drive expedition of delivery of backordered products and proactively liaise with the Divisions and Customer Support to prioritize urgent customer backorders.
  • Closely review orders on hold due to Large Order Review trigger, advising Customer Support how to proceed and liaising with global operations teams on issues.
  • Product supply chain system updates
  • Define and support implementation of efficient supply chain processes and metrics, facilitating inbound supply of products from manufacturers and customer-related returns.
  • Liaise with IT on any systems issues that may arise e.g. IOPS, GTINs, completing change orders as required.
  • Be proficient in the use of PLM system.
  • Fully participate and contribute to company auditing processes as required.
  • Product Communications
  • Provide timely product information and support for Customer Support & Distribution.
  • Maintain product registry and product repository databases as required for specific relevant markets.
  • Channel all product communications received from local and global Divisional Product Managers and global Operations to the Customer Support and Distribution teams and making this information available on EMEA SC shared location.
  • Update Order management system is updated to reflect the updated messaging with the relevant information, providing customer scripts to allow consistency in the messaging across all markets.
  • Engage proactively with Global and Regional product management groups for latest information on product lifecycle.
  • Act as CSD liaison with Customer Relations team, local and global Divisions for field actions.
  • Product Support
  • Liaise with Customer Support, Regulatory and Divisions on technical product issues/queries as needed.
  • Act as first point of reference for the Tendering Teams for technical datasheet requests and prepare technical datasheets for tender submissions as required.
  • Providing complete Divisional Support and maintenance of the Global Sales Restriction System (GARS) and Approval/Restriction process for remote inventory orders.
  • Prepare and deliver all business metrics pertaining to the Supply Chain/Product Specialist business area as needed.
  • Product Training
  • Participate in / deliver technical training of EMEA SC and internal departments as required.
  • Ensure all training is targeted appropriately, ensuring that EMEA SC teams are kept up to date with developments in the relevant product lines.
  • Proactively look for ways to improve on existing training and keep training content up to date.
  • Freight management
  • Professionally manage daily business relationship with key carriers.
  • Resolve issues pertaining to key carriers daily utilising reports to identify issues and flagging them to concerned parties.
  • Compile and report on all carrier complaints, closing out within agreed SLA.
  • Initiate and participate in continuous improvement projects as relevant for the business.
  • General
  • Ensure that the Cook Medical brand and image is communicated in a positive and consistent manner to all customers, both external and internal.
  • Ensure adherence to pertinent Quality and Regulatory requirements and to departmental policies, practices and procedures.
  • Ensure that Cook’s Code of Conduct is considered in all business matters carried out on Cook’s behalf.
  • Ensure familiarity with CMEU obligations as part of Regulation (EU) 2017/745 (EU MDR) and being willing to learn about new requirements regarding EUMDR.

Qualifications

  • Qualification in planning/purchasing/APICS or other business-related area advantageous.
  • Min 3 years’ experience in a similar role within high volume regulated industry.
  • Understanding of MRP in production environment advantageous.
  • Knowledge of CI and its application in operational setting advantageous
  • Fluency in a second European language in addition to English advantageous.
  • Experience delivering group training advantageous.
  • Strong customer focus.
  • Strong organizational skills with high self-motivation.
  • Excellent interpersonal skills with a demonstrated ability to work on own initiative and communicate at all levels of an organization.
  • Excellent working knowledge of Microsoft Office with advanced Excel competency.
  • Proven problem-solving skills, with the ability to work through a situation logically to come up with a workable solution without delay.
  • Ability to remain calm and approachable under pressure.
  • Excellent attention to detail is required.
  • Experience or knowledge of tenders & public procurement an advantage
  • Willingness and availability to travel on company business.
