Job Description - Projects Coordinator

EMG/Gravity Media are looking for a Projects Coordinator to join our Operations team in Dublin, Ireland. Our Operations team provides a broad range of administrative support functions to the senior leadership team, based at our clients Remote Broadcast Centre, Swords, Co. Dublin.

JOB PURPOSE
EMG/Gravity Media are looking for a Projects Coordinator to join our Operations team in Dublin, Ireland. Our Operations team provides a broad range of administrative support functions to the senior leadership team, based at our clients Remote Broadcast Centre, Swords, Co. Dublin.

As a Projects Coordinator, you will handle the daily coordination of complex work-flows such as, schedule oversight, relationship management, finance admin support, coordination of travel as well as collecting, documenting and aggregating information, data, plans and priorities on behalf of the team. You will also provide important support to senior leadership objectives, crafting necessary communications and or presentations, identifying situations that could affect the success of leadership’s commitments and contributing to the senior leaders’ effectiveness.

RESPONSIBILITIES
• Provides a broad range of administrative support functions for management which include coordinating office communications, tracking budgets, purchasing, scheduling, workflow, and processing of office forms.
• Coordinates, maintains, and creates various meetings, events, schedules, and calendars. Makes travel arrangements and coordinates large group meetings.
• Compiles, composes, edits, produces, and distributes a variety of documents including, but not limited to, detailed memos, e-mails, reports, presentations and other communications as needed.
• Handles or assists with financial administration tasks and control procedures. Processes expenditures, purchases, budget transfers and other actions. Develops and analyses financial reports and maintains selected fiscal records.
• Maintains confidential files and records for assigned areas of responsibility.
• Coordination of relevant tasks and projects as needed, including light project management. Performs other related duties as assigned.
• Develop an understanding of priorities and commitments to ensure the executive’s productivity daily
• Handle confidential information that requires care in deciding what is appropriate to share with whom for business purposes and holding the highest standard of confidentiality as a member of the Operations team.

EXPERIENCE PROFILE

Essential:
• 2+ years of supporting senior leaders as an Coordinator/Administrative/Executive Assistant.
• Organisational dexterity with executive and business acumen
• Proficiency in creating compelling narratives using presentation tools. Visual communication is essential for conveying complex information.
• Experience preparing presentations for Senior Leadership using Google Slides / PowerPoint
• Excellent interpersonal skills across all levels of the company
• Sense of initiative and drive to solve problems
• Results/action oriented with project management skills

Desirable:
• B.A. or B.S. degree
• Google Workplace expert
• Experience working in an esports or broadcast environment.
