Job Description - Member Services Executive

Member Services Executive

Reporting To: Membership Manager

Location: Dublin, Ireland / Hybrid

Organisation: Institute of Designers in Ireland (IDI)

Hours: Full time (potential for shorter hours)

Salary Range: 35,000 – 45,000 depending on experience

 

Job Purpose: The Member Services Executive will be the first point of contact for IDI Members, supporting the Membership Manager in delivering an exceptional member experience, including member enquiries, onboarding of new members and effective retention of existing Members. The Member Services Executive will also administer and promote the IDI Awards, Graduate Awards, and other engagement forums and events.

 

Key Responsibilities:

  1. Membership Administration:

  • Oversee the registration process for new members, ensuring CRM data is clean, updated, segmented, and payments are recorded in the accounting system.

  • Actively promote IDI membership to relevant sectors.

  • Serve as the primary contact for member and prospective member inquiries, responding promptly to requests and queries.

  • Ensure membership subscriptions are recorded accurately in the accounting systems and that renewal notifications are up-to-date.

  • Perform general administrative duties such as phone calls, arranging travel, conducting research, and gathering information as required by the Membership Manager or CEO.

  1. Event Support:

  • Assist the Membership Manager with the application process for the IDI Awards, IDI Graduate Awards, coordination of judges, venue hire, catering, travel, accommodation bookings, and expense management.

  • Provide administrative support for other engagement forums and events as necessary, to include; registrations and bookings for IDI program participants, including handling on-the-day registrations.

  • Attend IDI events, assisting with the preparation and handling of relevant assets.

  1. Communications and Marketing:

  • Assist in marketing and promoting IDI and IDI events through newsletters, the website, and social media channels.

  • Monitor community engagement through social media and other channels as needed.

  • Coordinate with Design Skillnet colleagues to leverage communication opportunities that support both entities.

  • Work with the IDI’s designers to create engaging content that promotes IDI activities and enhances member engagement.

  • Supporting the delivery of impactful enquiry and renewal comms for maximum membership growth and retention.

  1. Support to CEO and IDI Board:

  • Provide administrative support to the CEO and IDI Board, aiding in the execution of board activities and initiatives.

  • Prepare reports and materials for board meetings as required.

  • Deputise for the Membership Manager in attending and minuting IDI board meetings.

Key Requirements:

  • Bachelor’s degree in Communications, Marketing, Business Administration, or a related field is desirable.

  • Minimum of 2 years’ experience in a membership engagement, communications, or marketing role.

  • Experience in the coordination of events.

  • Excellent communication and interpersonal skills.

  • Strong project management skills with the ability to manage multiple tasks simultaneously.

  • Proficiency in using CRM systems and managing data.

  • Experience with social media platforms and digital marketing.

  • Strong organisational skills and attention to detail.

  • Ability to work independently and as part of a team.

  • Flexibility to attend events outside of regular office hours as needed.

Desirable:

  • Experience in a membership-based organization.

  • Knowledge of the design industry or a related field.

  • Proficiency in graphic design software (e.g., Adobe Creative Suite).
