The GEC completed a major €10 million expansion creating an Entrepreneurial Superhub in Dublin 8 in 2021.   About Role: The successful candidate will assist the coordination of the front office activities and services. Their primary tasks include handling incoming calls and visitors, coordination of meeting room bookings for client and external companies while facilitating clients' requests and maintaining the front office areas. The Receptionist will be a key member of staff within the GEC, delivering an excellent service to all stakeholders. This is an exciting opportunity for an individual with a passion for customer service to experience and be involved in the dynamic space of start-ups.   Work Location: The GEC office in the Guinness Enterprise Centre (GEC). This is a part-time (Tuesday - Thursday & 8am - 1pm or (8.30am - 1.30 pm) onsite role with in-person delivery. Flexibility required to cover annual leave entitlements from time to time (with prior notice).   Responsibilities: The Receptionist will be responsible for the coordination of the following activities: Meeting and greeting clients, visitors, contractors and all stakeholders at the GEC. Representing the GEC by creating a welcoming warm experience and upkeeping. high standards of the reception area (operating a clean desk policy), lobby area and loading dock area. General client management including: assisting with daily phone/email enquiries / admin requests, post, packages, couriers. Efficient handling of incoming calls and switch management. Actively managing the internal meeting room and conference room booking system to ensure maximum utilisation of the space. Connecting the Events Executive with external clients regarding the events and conference space in a timely manner. Event support to include tech support for clients as required (training provided). Responsible for updating and distributing of daily memos with visitor notices, parking requirements etc. Support the GEC Front of House Lead with the office stationery stock and office supplies. Management of building access system and issuing of swipe cards and key cards. Office tasks including, minutes and actions recording, filing, copying, scanning, and uploading of documents. Handling and tracking of incoming post/parcels and outgoing mail including mail forwarding. Supporting the Operations manager with day to day running of the centre. Ad-hoc duties and one off projects including desktop research and data entry etc.   Required Skills/Experience: Strong written and verbal communication skills. Strong team payer and excellent interpersonal relationship skills. Strong project management, multitasking, and decision-making skills. 3+ years' administration and reception experience. Excellent attention to detail, organisational and time management skills. Ability to prioritise tasks and projects and learn in a dynamic environment. The role requires a person with a "can do" attitude and a strong sense of autonomy and the ability to work off their own initiative. Experience working in an entrepreneurial environment would be advantageous but not essential. Highly competent with a multitude of software packages in particular MS Office365 (Virtual/Online platforms e.g. Teams) Experience working with CRM and software platforms.   Key benefits of the role: Generous Time off (Annual Leave and company days).
