Job Description - Administrative Assistant

What are the ongoing responsibilities of an Administrative Assistant?

Manage conference room bookings and set-up.

Liaise with Building Reception on all visitors including Contractors.

Manage catering requirements for Board/Ad hoc meetings.

Greet incoming visitors and inform assistant or host of arrival.

Report/liaise with Facilities on maintenance of office.

Report/liaise with IT department.

Manage passes for new joiners, visitors and contractors.

Liaise with Facilities on new joiner health and safety requirements are met.

Process and code expenses for branch manager and other senior colleagues.

Assist FT visitors with Skedda reservations for desks/offices.

Provide set-up/event support for internal and external meetings and events in the office.

Process and code invoices.

What qualifications, skills and experience would help someone to be successful?

Previous corporate reception experience (2-3 years)

Ability to interact with all levels of management.

Knowledge of business desktop applications (i.e. Microsoft Word, Excel, PowerPoint, Windows, etc.) required.

This position could be part-time.

Strong attention to detail.

Ability to maintain confidentiality.

Ability to accurately proofread documents.

Ability to take initiative.

Hands-on mind-set.

Organizing ability.

Polite, professional and service orientated behaviour.
