We are looking for a highly organised and proactive Full-Time Events Coordinator reporting to the Event Manager with prior experience in planning and supporting golf tournaments in Ireland, Scotland & UK, managing large-scale group travel logistics, and coordinating a variety of ad hoc events throughout the year. The successful candidate will play a key role in ensuring seamless execution of events by providing hands-on administrative and logistical support to the Events team.
Key Responsibilities
Event Planning & Support
Support the delivery of golf tournaments, including venue liaison, team registration, tee time scheduling, and equipment coordination.
Assist in the coordination of ad hoc events throughout the year including awards nights, training sessions, and corporate golf days.
Client & Guest Experience
Plan and manage large group travel arrangements including flights, transfers, accommodation, staff, sponsors, and guests.
Provide on-site guest support, registration desk, meet & greet and customer care.
Ensure seamless delivery of high tough experiences tailored to luxury golf travellers.
Supplier & Partner Liaison
Coordinate event logistics such as catering, signage, branded materials, gift packs, scoring systems, and transport on-site.
Liaise with external suppliers, golf courses, hospitality partners, and transportation providers to confirm services and ensure smooth execution.
Operations & Administration
Maintain and update detailed event plans, timelines, budgets, and contact databases.
Support event communications including distribution of invitations, itineraries, welcome letters, and pre-event information.
Manage post-event wrap-up including collating feedback, reconciling invoices, and updating event reports.
Maintain accurate records across internal systems (CRM, Finance & Itineraries)
On Site Delivery
Provide onsite guest support during each event, which may include weekend and bank holiday work.
Assist with set up and break down of events.
Being visible contact ensuring smooth flow of events.
Person Specification
Essential:
Minimum 3 years’ experience in an events coordinator role, with direct exposure to sports, luxury hospitality or travel.
Proven ability to manage complex travel logistics for groups of 20+ people.
Strong organisational skills with the ability to multitask and work to tight deadlines.
Excellent written and verbal communication skills.
Confident using Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Professional attitude with high attention to detail and a customer-focused mindset.
Office-based role located in Park West, with willingness to travel occasionally during peak season.
