We are seeking an organised, proactive, and customer-focused Office Administrator to join our busy and growing team in Ballymahon, Co. Longford. This is an excellent opportunity for someone who enjoys a varied role and thrives in a fast-paced office environment where no two days are the same.
As a key member of the administration team, you will play an important role in ensuring the smooth day-to-day operation of the office, supporting customers, processing orders, managing export documentation, and assisting with a variety of administrative functions.
Working Hours: Full-time, 8-hour shifts with an early start. 6am-2pm/ 7am-3pm
Key Responsibilities
Customer Orders & Sales Administration
Process customer orders received by phone, email, and text.
Provide excellent support to Irish and international customers.
Enter orders accurately on D365.
Liaise with production on stock availability and dispatch schedules.
Arrange stock transfers when required.
Export & Customs Documentation
Prepare export and customs documentation.
Complete paperwork using IMSOC Traces and IPAFFS.
Issue packing lists, certificates, and shipping documents.
Send order confirmations and dispatch paperwork to customers.
General Administration & Office Support
Maintain office records, filing systems, and databases.
Support accounts with administrative queries and documentation.
Prepare reports, correspondence, and business documents.
Assist with filing, scanning, photocopying, and document management.
Order office supplies and provide general office support.
Requirements
Essential Requirements
Minimum 6 months' administration experience
Strong IT skills, including proficiency in Microsoft Office applications
Excellent communication skills, both written and verbal
Strong organisational and time management abilities
High level of accuracy and attention to detail
Proactive approach with strong follow-through on tasks
Professional and customer-focused attitude
Fluent English, both written and spoken
Desirable
Experience with export documentation or customs processes
Familiarity with Microsoft Dynamics 365 (D365)
Experience working in a busy office or customer service environment
