Job Description - Operations Administrator



ID Recruitment are working with a construction company to recruit an organised and proactive Operations Administrator.


This varied role will provide PA and administrative support to the Managing Director and wider management team, coordinate company events and manage day-to-day HR administration. It is an excellent opportunity for someone who enjoys taking ownership of their work, coordinating multiple priorities and supporting the smooth running of a busy business.


Key Responsibilities


PA and Management Support



  • Provide day-to-day PA support to the Managing Director, including diary management, scheduling meetings and managing correspondence.


  • Prepare meeting agendas, take minutes and follow up on agreed actions.


  • Organise travel, accommodation and itineraries for the Managing Director and management team.


  • Assist with preparing reports, presentations and company documentation.


  • Provide administrative support to the management team across ongoing projects and business activities.


  • Handle confidential information with discretion and professionalism.



Events and Company Activities



  • Coordinate company events, roadshows, exhibitions and expos, managing arrangements from initial planning through to delivery.


  • Organise venue bookings, supplier arrangements, registrations, travel and accommodation.


  • Coordinate exhibition materials, promotional items and event schedules.


  • Liaise with internal teams, organisers and external suppliers to ensure events run smoothly.


  • Track event costs and support follow-up administration.



HR Administration



  • Maintain and update employee files, HR records and internal databases, ensuring information is accurate and confidential.


  • Prepare and issue employment contracts and related documentation using approved templates and agreed terms.


  • Coordinate onboarding administration for new employees, including paperwork and induction arrangements.


  • Assist with recruitment administration, including arranging interviews and communicating with candidates.


  • Support the performance review process by scheduling meetings, preparing documentation and tracking completion and follow-up actions.


  • Maintain records of annual leave, absence and employee training.



General Administration



  • Maintain organised filing systems and ensure company documents are kept up to date.


  • Liaise with employees, clients, suppliers and external contacts on administrative matters.


  • Assist with office coordination, purchasing supplies and processing related paperwork.


  • Identify opportunities to improve administrative processes and support ad hoc business projects.







Requirements



  • Previous experience in an administration, PA, executive assistant or office coordination role.


  • Experience within construction or a related industry would be an advantage.


  • Excellent organisational and time management skills, with the ability to manage competing priorities.


  • Strong written and verbal communication skills.


  • Proficiency in Microsoft Office, particularly Outlook, Word, Excel and PowerPoint.


  • A high level of accuracy, attention to detail and discretion when handling sensitive information.


  • A proactive, flexible approach and the ability to work independently while supporting a wider team.
