About the role

The Plant Administrator will play a key role in supporting the efficient operation of the Plant Department. The successful candidate will provide administrative, purchasing, accounts, and fleet management support while ensuring accurate record keeping, compliance with company procedures, and excellent service to internal and external stakeholders.
This position requires a highly organised and proactive individual who can effectively manage competing priorities while maintaining a high level of accuracy and attention to detail.

Making Possible

• Coordinate the dispatch and return of all plant equipment and vehicles.


• Assign company vehicles and maintain Benefit-in-Kind (BIK) records.


• Organise vehicle maintenance schedules, including NCT, DOE, tax renewals, and servicing.


• Maintain records relating to plant, vehicle, safety equipment, and maintenance activities.


• Monitor and report on vehicle and plant maintenance requirements and faults.


• Process and monitor purchase orders.


• Liaise with suppliers regarding orders, deliveries, pricing, and account queries.


• Match supplier invoices to purchase orders and delivery documentation.


• Assist with month-end purchasing and reporting activities.


• Process invoices accurately and in a timely manner.


• Reconcile creditor statements and resolve discrepancies.


• Complete lease reconciliations.


• Issue invoices to internal and external customers.


• Prepare and maintain reports using Microsoft Excel.


• Manage and update plant and vehicle databases.


• Ensure data accuracy and integrity across all records and systems.


• Support month-end reporting processes.


• Carry out general office administration duties, including filing, archiving, stock taking, and document management.


• Book travel arrangements, including flights and accommodation.


• Provide reception cover during holidays and breaks.


• Provide support across the Plant Department and other business functions when necessary.

What do you bring to the role?

Essential knowledge, Skills & Experience

• Previous experience in an administrative or accounts role.


• Strong organisational and time-management skills.


• Excellent verbal and written communication skills.


• High attention to detail and commitment to data accuracy.


• Strong proficiency in Microsoft Office applications, particularly Excel.


• Ability to work independently and collaboratively within a team.


• Ability to prioritise workload in a fast-paced environment.


• Professional, flexible, and proactive approach to work.

Desirable

• Experience within a Plant, Fleet, Construction, Operations, Purchasing, or Accounts Payable environment.


• Experience processing invoices and reconciliations.


• Knowledge of fleet administration and maintenance scheduling.


• Experience using ERP, purchasing, or fleet management systems.
