Job Description - Plant Administrator - Head Office

We wish to hire a Plant Administrator for our Plant Department. 


Location : Clancy Head Office, Drangan, Co. Tipperary


Reporting To: Plant Operations Coordinator



Role Overview


The Plant Administrator will be responsible for managing all plant-related invoices, coordinating requisitions from sites, and supporting stock ordering within the Plant Department.


The role ensures that all hires, purchases, and services are accurately recorded, cost-controlled, and processed in line with company procedures.



Key Responsibilities will include :



Invoice Management (Core Responsibility)


Process and manage all invoices relating to:



  • Plant hire

  • Plant purchases

  • Repairs and servicing


 


Cross-check invoices against:



  • Plant Requisition Sheet

  • Hire durations

  • Delivery and off-hire dates


 


Identify and resolve discrepancies with suppliers and internal teams


Maintain accurate invoice records for audit and cost tracking



Requisition Coordination


Manage and maintain the Plant Requisition Sheet for:



  • Hires

  • Purchases

  • Services/repair



Ensure all required information is completed before processing.


Liaise with Plant Officers to:  



  • Confirm deliveries

  • Update off-hire dates

  • Track service completion


 


Ensure requisitions are updated through to completion



Stock Ordering & Control


Raise orders for plant stock and consumables as approved by the Plant Manager


Track deliveries and confirm receipt with Site teams


Maintain records of stock orders and usage


Support inventory tracking e.g. using systems such as ‘ToolSense ‘where required


 


Supplier & Hire Company Coordination


Act as a point of contact for suppliers and hire companies


Obtain quotes where required


Ensure correct hire details are in place (dates, duration, rates)


Support efficient ordering and timely delivery of plant and equipment


 


Administrative Support


Maintain accurate records across:



  • Plant Requisition Sheets

  • Invoice records


 


Upload and organise delivery dockets and documentation.               


Assist with fleet management (as required).


Assist with general administrative duties within the Plant Department.


 


Key Skills & Competencies



Strong organisational skills (essential).


High attention to detail.  Accuracy with regard to numeracy and Invoices


Good communication and coordination skills.


Strong English language abilities – spoken and written.


Ability to manage multiple requests from different sites.  Demonstrated time management abilities.


Ability to build relationships at all levels.


Proficiency in Excel and administrative systems e.g. Asset Management / Vehicle Management.


 



  • Demonstrated exposure to a fast-paced environment is essential.

  • A Hire / Plant background is an advantage.
