Job Description - Sales & Logistics administrator

We are recruiting for a Distributor of raw materials. Currently, we are seeking a Sales and Logistics Administrator to ensure the efficient transportation of our products to customers while maintaining exceptional customer service standards.

The Logistics Coordinator will play a pivotal role in organizing freight, warehousing, and order fulfillment, ensuring seamless communication with customers and internal stakeholders. This individual will be responsible for resolving issues promptly, updating systems in real-time, and contributing to the overall excellence of our business operations.

Key Responsibilities:

  • Liaise with freight partners and couriers to track orders and maintain customer communication throughout the delivery process.
  • Resolve any logistical issues promptly to ensure timely delivery and customer satisfaction.
  • Update the Sage system in real-time to accurately reflect order statuses and inventory levels.
  • Coordinate sales orders from warehousing and arrange delivery to head office as required.
  • Organize stock transfers and ensure accurate reporting to internal teams and management.
  • Collaborate with the Sales Team to report sales projections and monitor customer delivery schedules.
  • Escalate issues to the Commercial and Procurement Director when necessary.
  • Ensure accurate allocation of stock to customers and address any discrepancies with warehouses.
  • Provide regular updates to customers regarding order status and any potential delays.
  • Facilitate purchasing activities, including procurement of office supplies and equipment.
  • Liaise with the Quality Team to ensure proper documentation for orders, such as Certificates of Analysis.

  • Proven track record in delivering excellent internal and external customer service.
  • Ability to build trusting relationships and collaborate effectively with colleagues and external partners.
  • Strong negotiation skills and the ability to influence outcomes with third parties.
  • Highly organized with the ability to prioritize tasks in a fast-paced environment.
  • Self-motivated and capable of working independently.
  • Experience in sales order processing and keen attention to detail.
  • Proficiency in the Microsoft Office suite; experience with Sage or similar systems is advantageous.
