Role Summary



The Executive Assistant provides high-level administrative and strategic support to the Head of Branch, coordinating cross-functional activities, managing governance processes, and enabling effective branch operations across Lines of Business.



Key Responsibilities




  • Coordinate and drive activities for HOB; work across to keep projects on track.

  • Manage project planning, tracking, and scheduling; create detailed project plans and integrate best-practice standards.

  • Prepare presentation decks for business meetings and provide weekly/monthly progress dashboards.

  • Managing visa related document and process.

  • Monitor project budgets, annual forecasts, and actual expenses; track contracts and invoices.

  • Coordinate the branch agenda including strategic meetings, Board sessions, and customer steering meetings.

  • Ensure seamless communication between functions, other entities, external customers, and stakeholders.

  • Run governance of the Leadership Team on behalf of the Head of Branch; prepare daily activities and meeting briefs.

  • Coordinate overarching meetings and workshops; lead and support the office team (PA).


Key Requirements



  • Academic qualification at MA, MSc, or MBA level (Business Administration, IT Management, or related field).

  • 5+ years' experience in project management and leadership in a complex, international environment.

  • Excellent stakeholder management and verbal/written communication skills.

  • Results-driven, solution-oriented, and able to work autonomously under pressure and tight deadlines.

  • Fluent English (mandatory); German or French are a plus.

  • Experience in the insurance sector is a plus; ability to operate in a multicultural matrix organization.

  • Minimum 18–24 months' prior experience within the organization or equivalent, with an excellent track record


Good to have 



  • Having a basic understanding or exposure to AI tools would be a plus.

  • Familiarity with basic AI tools is considered an advantage.

  • Basic knowledge or experience with AI tools will be beneficial.

  • Exposure to AI tools, even at a basic level, is a value-add.

  • A fundamental grasp of AI tools will be an added benefit.
