General Description:

The Manager Commercial Event Planning and Business Operations reporting to the Business Operation Director Italy, will be responsible congresses and events planning and execution in addition to other strategic and administrational tasks within the Unit. This Function will work closely with business Functions and with Regulatory, Legal and Compliance for tasks related to those events subjects to regulatory authority approval.

Essential Functions of the job:

  • Collaborate with relevant Functions within the affiliate to get an in-depth understanding of their business needs and execute strategy into successful events.

  • Manage relationships, contacts and price negotiations with vendors, providers, scientific organizations and support related contract negotiations.

  • Manage events and congresses budget, ensuring accurate and timely reporting.

  • Coordinate all stakeholders internally and externally to ensure delivery of all congress activity on time, on budget and in accordance with legal, regulatory and compliance requirements.

  • Cooperate closely with Commercial and Medical Teams regarding the execution of national congresses (e.g. booth building, satellite Symposia; meeting rooms onsite).

  • Selection and management of congresses and events agencies to effectively address BeOne needs

  • Ensure onsite management, logistics and oversight for congresses and events in collaboration with medical, sales, marketing and access teams.

  • Manage the congresses and events internal approval tool and any kind of modifications if needed

  • Maintain oversight of core congresses and events documentation.

  • Forge strong team-oriented working relationships with Global and EU congresses department.

  • Manage, with support of external Agencies if appropriate, all logistical aspects of national and international events (hotel, travel, restaurants.) as well as necessary authorizations for delegates.

  • Work closely with marketing department for the organization of standalone events.

  • Organize/support the organization of logistics for internal events such as Cycle meetings

  • Support administrative and financial/budgeting tasks related to congresses and events

  • Support Regulatory and Compliance (or the external consultants if applicable) in managing events submission to AIFA on time and according to applicable Law

Qualifications:

  • 5+ years of pharmaceutical industry or related experience in managing pharmaceutical congresses.

  • Very good knowledge of policies, structures and processes related to congress and events organization

  • Knowledge of tools and regulations regarding meetings/travel

  • Project management skills with the ability to manage multiple projects simultaneously.

  • Demonstrated attitude to work in cross-function in teams across geographies (EU-US)

  • Proven ability to successfully engage with internal/external key stakeholders, creating alignment horizontally and vertically

  • Excellent interpersonal, oral and written communication skills

  • Attention to cultural diversity and inclusivity

  • Entrepreneurial and innovative of spirit

  • Proactivity

  • Fluent in English; other languages advantageous

  • Hybrid (working 2-3 times per week from our office in Milan)

Salary Range Italy: 57,100.00 EUR - 71,400.00 EUR
