Senior AP Specialist

Keywords Studios, a global leader in media localization, voice-over, and creative services for the gaming and entertainment industry, is expanding its Global Finance Shared Services Center (GSSC) in Milan. We are seeking a Senior Accounts Payable (AP) Specialist to take on a key leadership role within our international finance team.

About the Role:

As a Senior AP Specialist, you will play a pivotal role in shaping, overseeing, and optimizing our global AP processes. You will act as the right hand to the Global AP Manager and coordinate a small team to ensure accuracy, compliance, and continuous improvement in a high-volume, multi-currency, multi-entity environment.

This role is ideal for a Senior AP leader with strong systems knowledge (Oracle, NetSuite, or similar ERP), a track record of managing cross-border payables, and experience in leading or mentoring teams within a Shared Services environment.

Oversight and Leadership

• Lead day-to-day AP operations for a portfolio of international entities
• Supervise and mentor 2-3 junior AP specialists
• Ensure on-time, accurate payment runs and vendor settlements across regions

Process Excellence

• Champion best practices in AP workflows and internal controls
• Collaborate with the Global AP Manager to improve efficiency and standardization
• Support onboarding of new entities (e.g., North America) into the Shared Service framework

Vendor and Stakeholder Management

• Manage escalations and critical vendor relationships
• Act as a liaison with procurement, finance, and treasury teams globally

Month-End & Compliance

• Review and approve AP reconciliations, accruals, and reporting packages
• Assist with statutory reporting, audits, and compliance with IFRS and internal policies

Technology & Systems

• Utilize Oracle, NetSuite, or equivalent ERP systems to manage payables
• Leverage tools like Kanbina AI and Excel for data insights and continuous improvement

• 7–10 years’ progressive experience in Accounts Payable, with at least 3 years in a Shared Services or multinational environment
• Previous experience supporting or managing a small team
• Strong knowledge of global AP operations, including US/Canadian compliance (e.g., 1099/T4A), IFRS, and tax rules
• Systems proficiency (Oracle, NetSuite, or similar ERP)
• Advanced Excel skills (pivot tables, lookups, reconciliations)
• Strong communication, prioritization, and vendor management skills
• Fluent English (written and spoken)
