Team Assistant in a nutshell

We are looking for a highly organized and proactive Team Assistant to support our dynamic team at the Milan Aesthetic Research Center (MARC), a hub of excellence for innovative design. In this role, you will ensure seamless office operations, assist with administrative tasks, and provide logistical support to a diverse team of international talents shaping the future of Huawei’s products and retail experiences worldwide.

Type of Contract: 1-year temporary contract with our outsourcing partner Randstad Italia, with the possibility of long-term employment afterwards

What will be your main responsibilities?

Office Administration:

• Manage office supplies, including stationery, drinks, and snacks; oversee stock levels and place orders as needed.


• Assist in meeting preparations, including coffee breaks, room setup, and welcoming guests.


• Handle reception activities, including visitor registration, restaurant bookings, food orders, and hotel recommendations for international guests.


• Conduct office space checks, verify deliveries, and collect delivery notes.


• Manage expense reports, including collection and verification.


• Organize shipments and handle related documentation.

Team Support:

• Coordinate team, group, and routine meetings, ensuring seamless logistics.


• Plan and assist with team-building activities, year-end celebrations, and smaller events in alignment with company policies to foster a collaborative and creative atmosphere.


• Support external event/exhibition planning by collecting requests and participant details.


• Process supplier NDAs, including template preparation, verification, signing, and filing.


• Assist team members with internal system operations, reimbursements, and issue resolution, directing them to the appropriate resources when needed.


• Facilitate travel arrangements for international team members, including visa applications, scheduling, and logistics.


• Support new employee onboarding, including SIM card setup, phone configuration, and app installations.


• Manage magazine subscriptions and small purchases through the company system.


• Oversee internal system permissions, tracking expirations and processing extensions.

What are the skills required for this position?

• Proven experience in administrative or team support roles, preferably in a creative or international environment.

• Strong organizational and multitasking skills with a keen eye for detail.


• Proficiency in office management tools and systems.


• Excellent communication and interpersonal abilities, with fluency in Italian and English, knowledge of Chinese language is a plus. 


• A team player who can also work independently, with a positive and proactive attitude.


• Willingness to work in a multicultural and international environment.
