Job Description - Admin Assistant

Job Description

We are seeking a highly organized and detail-oriented Admin Assistant, you will be responsible for providing administrative support to our team and ensuring the smooth running of our office operations. The ideal candidate will have excellent organizational and multitasking skills, strong attention to detail, and the ability to work independently. This is a great opportunity for someone who thrives in a fast-paced environment and is looking to further their career in administration.

Responsibilities:

  1. Manage the front desk by greeting visitors, answering phone calls, and directing inquiries to the appropriate person or department.
  2. Assist with scheduling and coordinating meetings, conferences, and travel arrangements for team members.
  3. Prepare and distribute correspondence, memos, and reports.
  4. Maintain and update electronic and physical filing systems.
  5. Assist with the preparation of presentations, reports, and other documents.
  6. Order and maintain office supplies and equipment.
  7. Assist with the onboarding process for new hires, including preparing paperwork and coordinating orientation.
  8. Handle incoming and outgoing mail and deliveries.
  9. Assist with event planning and coordination.
  10. Perform general administrative tasks such as data entry, photocopying, and scanning.

Preferred Candidate:

  1. Minimum 1-5 years of experience in an administrative role.
  2. Excellent organizational and time management skills.
  3. Strong attention to detail and accuracy.
  4. Ability to prioritize and multitask in a fast-paced environment.
  5. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  6. Strong verbal and written communication skills.
  7. Ability to work independently and as part of a team.
  8. Professional and friendly demeanor.
  9. Ability to maintain confidentiality.
  10. Knowledge of office management systems and procedures.
