We are seeking for an Assistant to the Director International Sales Development to join immediately our IHQ in Schengen, Luxembourg.
WHAT ARE YOUR RESPONSIBILITIES?
· Preparing reports, presentations, and correspondences
· Assisting the department head in her daily tasks and projects
· Follow up of projects
· Anticipating the needs of the Director and resolving issues proactively
· Being the right-hand of the Director, to support in all areas
· Follow up with tasks of team members
· Organizing and preparing materials for meetings
· Taking notes during meetings and preparing minutes and summaries
· Prioritizing and scheduling meetings and other engagements for the Director in order to optimize time
· Managing the calendar of the Director
· Making travel arrangements and generating itineraries
· Creating and updating guidelines, overviews, and checklists for various processes
· Demonstrate analytical and problem-solving skills in order to support and solve challenges
· Supporting in the sales side of the business together with the Director to conduct presentations, materials, etc.
· Handling internal and external communications on behalf of the Director
· Office organization and supply ordering
· Keeping tasks, projects, and follow ups organized for both yourself and the Director
· Work closely with other departments in the company to ensure that the tasks are moving forward
· Handling of invoices, expense reports, and other financial tasks
