Arbeitsbeschreibung - Receptionist & Facilities Officer

We are looking for a part-time Receptionist & Facilities Officer to join our Facilities team.


Our ideal candidate is an enthusiastic team player who loves interacting with people, is committed to providing exceptional client-focused service and advice and has a proactive attitude.


 


You will report to the Facilities Manager and team up with another Receptionist and be part of a human-sized structure, with a pleasant and family environment.


 


About us


Jetfly is a shared business aviation company based in Luxembourg on behalf of 450 co-owners. Our fleet is composed of 65 Pilatus aircraft (PC-12 and PC-24). The Pilatus has come to exemplify the unique combination of Swiss engineering and dedicated craftsmanship, yielding a superior flight, passenger, and operator experience that is truly beyond comparison. 


 


Role


The tasks that the Employee must carry out include:



  • Answer and forward incoming phone calls, provide information or take messages when needed.

  • Organize couriers, send normal and registered mail open post and forward on to relevant departments in a confidential and professional manner. Handling of deliveries and parcels.

  • Deal with vendors and monitoring their work to ensure the correct service is being provided, i.e., cleaning services, vending machines, plant services, coffee services, etc.

  • Maintain the reception area, keeping it tidy and presentable, including leaflets, newspapers, etc.

  • Reception cover for visitors and deliveries and ensure that the office, meeting rooms and kitchens are clean and tidy.

  • Monitor office stock levels for the kitchens, as well as stationary and ordering when necessary.

  • Filling and emptying of dishwashers.

  • Ensure that office equipment is in good working order, stationary is replenished, and all employee facilities are always clean and tidy.

  • Maintain office security by following safety procedures and controlling access via the reception desk (issue visitor badges).

  • Keep a record of office supply inventory and expenses.

  • Other duties as assigned.



Profile


 



  • You have very good interpersonal skills and excellent team spirit.

  • You are autonomous, respective of deadlines and have a developed sense of customer service.

  • You know how to multi-task and to be a problem solver.

  • You are able to demonstrate discretion and professionalism in handling confidential and sensitive information.

  • You have a first experience in welcoming client or as a receptionist.

  • Fluency in French and good level of English.

  • Knowledge of MS Office.
