Arbeitsbeschreibung - Senior Associate - Portfolio Management

Summary: Reporting to the Team Leader of the Portfolio Management Team, the Senior Associate - Portfolio Management will be an integral part of the team’s success.


           


ESSENTIAL DUTIES AND RESPONSIBILITIES


Portfolio management (retained mandates)



  • Organizing Investment Committee (IC) meetings, including preparing agendas, convening participants, distributing investment memos and supporting documentation, holding the meetings, drafting minutes, and ensuring follow-up on action points

  • Conducting necessary checks and controls on investment/divestment opportunities before the Investment Committees including assessing the compliance of the proposed investment/divestment opportunities with the Fund’s strategic fit, risk profile and financial criteria

  • Review of the investment’s economics and features

  • Liaising with other teams involved to collect the necessary elements and assessments ahead of the Investment Committees (including but not limited to AML/KYC checks on the assets and investment stakeholders in scope)

  • Participation as an IC member as required

  • Identifying potential risks and recommending appropriate mitigation actions or measures

  • Preparation of deliverables, archiving of documents and maintenance of internal logs and spreadsheets

  • Supervision of the execution of approved investment/divestment opportunities decision when trade execution is delegated

  • Ongoing monitoring of the investments

  • For specific cases, if necessary: assessment, control and execution of FX hedging, pooling and cash management proposals received from advisors

  • Ensuring ongoing monitoring of delegates such as investment advisors and other appointed delegates (as the case may be).



Portfolio management oversight



  • Ensuring the ongoing monitoring of the delegated investment managers (sending questionnaires, collecting answers, assessing elements received for adequacy and consistency, investigation of exceptions and attention points noted, follow-up on investigations and open points, preparation of deliverables…)

  • Conducting periodic data quality checks to ensure the exhaustivity of the monitoring

  • Following the escalation procedure in place and undertaking the relevant follow-up and actions

  • Periodic revisions of the questionnaire to reflect new regulatory developments or specific requirements

  • Suggestions to continuously improve the process and control framework around the portfolio management oversight process

  • Performing periodic checks on specific topics such as the effective implementation of Best Execution principles and pre-trade checks when investing in assets of limited liquidity

  • Conducting as ad-hoc investigations or ad-hoc reviews (upon triggering events).

  • Ensuring the monitoring of the performance of the assets managed by the delegated investment managers.



Other tasks



  • Addressing internal and external queries related to the Portfolio Management function

  • Collaborating with internal and external audit teams to address any queries regarding the function

  • Assisting the Team Leader in handling queries from the regulator(s), external stakeholders and internal and external auditors

  • Preparing regulatory reporting (including but not limited to major holdings)

  • Ensuring effective knowledge transfer within the team and demonstrating a strong commitment to becoming a subject matter expert in Portfolio Management

  • Implementing new controls and processes for the Portfolio Management function as deemed necessary in line with the regulatory requirements as may change/develop from time to time

  • Actively question and promote efficiencies of procedures and processes, with the key to making team operations more effective and efficient

  • Support in the preparation of the reporting to the Executive Committee and Board of Directors of Waystone Management Company (Lux) S.A. and as required, in the preparation of the reporting to the Boards of the CIS

  • Supporting the Team Leader and/or senior team members in ensuring the annual review of policies, procedures and documents owned by the Portfolio Management Team and the compliance with new regulatory developments impacting the activities of the Portfolio Management Team

  • Actively participate in internal working groups tackling portfolio management and/or transversal topics and to digital transformation initiatives impacting the activities of the Portfolio Management Team

  • Collaborate with other internal teams on any portfolio management topics

  • Review all related portfolio management sections and investment strategies in fund documentation and SLAs

  • Be a key support in the onboarding process, including by taking an active role in the client/pitch meetings as needed

  • Act as a market-facing representative of the company, fostering strong relationships with clients, partners, and industry stakeholders.



REQUIREMENTS

Experience:



  • Minimum of 4 years of experience in the financial sector, including 3 years (preferably with a Management Company (ManCo)/Alternative Investment Fund Managers (AIFM)) and with a focus on portfolio management and/or on portfolio management oversight

  • Good knowledge of Luxembourg regulatory frameworks applicable to ManCos, AIFMs, and Collective Investment Schemes (CIS), including UCITS and alternative funds

  • Good understanding of multiple asset classes and investment strategies

  • Strong quantitative and qualitative analytical skills

  • Highly organized, with strong attention to detail and time management skills, and the ability to perform effectively in a dynamic and fast-paced environment

  • Strong sense of ownership, agency and accountability, managing work independently while escalating issues appropriately

  • Team-oriented with a positive mindset and a proactive problem-solving approach, demonstrating initiative, creativity, and adaptability when addressing challenges

  • Strong critical thinking skills and a desire to drive positive change and continuous improvements in the control framework and related processes

  • Willingness to actively support digital transformation initiatives and innovation

  • Proactively keeps up to date with evolving regulatory frameworks, industry knowledge, and market trends, demonstrating adaptability and a commitment to continuous learning

  • Solid communication and presentation skills, proficient in delivering compelling presentations to diverse audiences

  • Ability to explain financial concepts in a clear, concise and professional manner to clients and stakeholders

  • Ability to work collaboratively across departments and with external partners including building and maintaining strong relationships with the clients; investment managers and other external stakeholders.


 


Education:



  • Master Degree in Finance; Economics, or a related field

  • Certifications such as Chartered Financial Analyst (CFA), Financial Risk Manager (FRM), or Chartered Alternative Investment Analyst (CAIA) are considered an asset

  • Fluency in English and proficiency in French.
