Position Overview

We are seeking for an experienced professional to join our Funds Services Department as a Transfer Agent – 8 months fixed term contract.

As a Transfer Agent, you would serve as the key link between the fund and its investors, ensuring that all investor transactions are processed smoothly and that communication with shareholders is accurate, timely, and compliant. You would safeguard the integrity of investor records, support audits, and deliver high‑quality service that meets both regulatory requirements and client expectations.

Your key responsibilities will be:

• Processing subscriptions, redemptions, transfers, conversions, dividend distributions, and merger events.
• Reviewing investor application forms and identification documents.
• Issuing contract notes, holding statements, and shareholder notices (AGM/EGM).
• Following up with investors on missing documentation, incomplete forms, or late payments.
• Maintaining the shareholders register and responding to investor queries.
• Following up on auditors with investor documentation requests.
• Managing capital calls and distributions including receipts of payments and bank account reconciliation.
• Preparing month‑end client reporting and handling ad hoc requests.
• Reviewing and updating working instructions and Transfer Agency procedures.
• Preparing fund audit confirmations.

You will be a great candidate if you:

• Have a minimum of 5 years' experience in the Registrar and Transfer Agent position preferably within a management company or financial and corporate services provider
• Have previous experience in dealing with complex investor structures (e.g. trusts, foundations) would be an asset
• Hold a university degree in Legal, Finance, Economics or Business Administration
• Working experience with alternative funds (private equities) and UCITS funds
• Have knowledge of AML/KYC requirements and regulations/ investor onboarding processes
• Have Private Equity Expertise: understanding of private equity fund structure,
• Good proficiency of Microsoft office tools
• Have excellent command of English and French language.
• Have strong interpersonal skills, ability to communicate effectively and deliver information in a clear, concise and comprehensive manner, collaborative spirit, agility, and can-do attitude.
