JOB PURPOSE The Administrative Assistant is responsible for providing administrative support and front desk support to the Principal's Office and Reprography.
KEY RESULT AREAS / RESPONSIBILITIES Principal's Office: - Professionally answer, screen and forward all incoming calls promptly and professionally to the correct person.
- Greet and welcome parents and guests as soon as they arrive at the office.
- Direct parents and guests to the appropriate Meeting Rooms and/or Departments.
- Provide basic and accurate information in-person and via phone, to callers.
- Receive and sort daily mail, deliveries and couriers. To inform respective departments to collect their mail, deliveries and courier before the end of the work day.
- Arrange and prepare students' Meal Vouchers.
- Coordinate all items sent by parents to students during school hours.
- Direct messages from parents to students / teachers / Heads of Departments / Heads of Schools accurately and timely.
- Attend to students' enquiries.
- Assist in managing the booking of meeting rooms and conference rooms.
- Assist in matters requested by the Principal and Line Manager.
- Assist in organizing internal department activities and meetings as assigned.
- Perform other administrative and clerical duties such as filing, photocopying and etc.
Reprography related work: - To ensure smooth operation in the Reprography room including but not limited to attending to printing request, ensure all requests are according to the procedures.
- To record all documents, worksheets/ teaching materials before sending them for photocopying.
- To check, monitor and request for the stock of printing materials, papers, cartridges required in the photocopy and printing process.
- To photocopy documents as and when assigned to you.
JOB REQUIREMENTS - At least SPM or similar relevant qualifications.
- Minimum 1 - 2 years relevant working experience as an Administrator positions, preferably in education industry.
COMPETENCIES (KNOWLEDGE, SKILLS & ABILITIES)- Knowledge to handle the PABX phones.
- Knowledge to operate the multifunction machine.
- Knowledge of Integrated Library Management System.
- Good organizational skills, including the ability to manage multiple tasks, deal efficiently with conflicting deadlines, prioritize workloads and execute tasks at short notice.
- Computer skills: iOS, Microsoft Office, google applications, etc.
- Good interpersonal skills - ability to interact and communicate with all levels of people.
- Good level of written and spoken in English.
- Ability to maintain confidentiality of information.
