Job Overview:

As an Office Administrator at AI Nusantara, you will be instrumental in managing our office's daily operations and administrative activities. This role requires a high level of organization, attention to detail, and the ability to handle multiple tasks efficiently. You will ensure that our corporate secretarial duties are fulfilled, manage document flow, handle claims, and support our team in event organization and vendor relationships.

Responsibilities:

  • Corporate Secretarial Duties : Handle all corporate secretarial responsibilities, ensuring compliance with statutory and regulatory requirements.
  • Document Management : Manage the creation, storage, and retrieval of business documents with utmost accuracy and confidentiality.
  • Claims Processing : Oversee the submission and processing of claims, ensuring they are completed accurately and on time.
  • Quotation Handling : Prepare, submit, and follow up on business quotations as required.
  • Employee Relations : Coordinate employee birthday celebrations and other staff-related events to enhance team morale.
  • Vendor Registration and Management : Register and manage vendor relationships, ensuring all documentation is up to date and compliant with company policies.
  • RFP Submission : Manage the preparation and submission of Request for Proposals (RFPs) to potential clients.
  • Event Management : Plan and execute corporate events, including logistics, budgeting, and coordination of resources.

Requirements:

  • Proven experience as an 3-5 Years of experience as office administrator, office assistant, or relevant role.
  • Strong knowledge of office management procedures and basic accounting principles.
  • Excellent organizational and multitasking abilities.
  • Superb written and verbal communication skills.
  • Proficiency in Microsoft Office & Google Suite.
  • Ability to handle sensitive information with integrity and confidentiality.
  • A proactive approach to problem-solving with strong decision-making skills.
  • High school diploma; additional qualifications in Office Administration or relevant field will be considered an advantage.
