Penerangan Pekerjaan - Senior Executive, Administrative

Position Responsibilities

  • Oversee the maintenance of office facilities to ensure they are kept in excellent condition, including coordinating repairs and renovations as needed.
  • Manage inventory and procurement processes for office supplies and pantry items, ensuring adequate stock levels and cost-effectiveness.
  • Act as a point of contact for sourcing external services such as runners, technicians, plumbers, locksmiths, pest control, etc., assessing needs and coordinating service provision.
  • Conduct regular comprehensive inspections of office assets and facilities, compiling detailed reports on any maintenance issues or equipment failures.
  • Coordinate and ensure timely completion of all scheduled maintenance services, including monthly, quarterly, and yearly tasks.
  • Administer and update various databases and tracking systems, such as maintenance trackers, gym card logs, and office keys registers, ensuring accuracy and accessibility of information.
  • Manage the company's licensing agreements with third-party licensees, ensuring compliance and renewal as necessary.
  • Coordinate courier services as required, understanding the specific needs and purposes for various courier options.
  • Supervise janitorial staff to maintain cleanliness and organization throughout the office premises.
  • Process purchase orders in collaboration with the finance department, ensuring accuracy and adherence to budgetary constraints.
  • Arrange travel accommodations for management and authorized employees, maintaining detailed records and aligning bookings with budgetary guidelines.
  • Oversee the production and distribution of employee name cards, ensuring alignment with job titles and positions as specified in offer letters.
  • Act as a professional point of contact for office guests, welcoming and directing them appropriately, and facilitating communication with internal staff members as needed.

  • At least Diploma or Bachelor’s degree holder in any related field such as Business Administration, Office Management, Communications, and etc.
  • At least 2 - 3 years of experience in related fields.
  • Have a great attention to details and stay aware of the office surroundings at all times. Must be quick to react if met with mishap.
  • Can effortlessly and independently adopt the fast-paced mindset. Must be able to work effectively and efficiently without constant monitoring and minimal supervision.
  • Have a positive go-getter attitude.
  • Can work well in a team. Able to form a dynamic with the team and encourage the team members to be more energetic.
  • Able to think fast and act promptly when faced with issues no matter how minor or major. Can come up with brilliant ideas and solutions on how to overcome complications.
  • Can communicate effectively with the team members, superiors, the management and the organization.
  • Capable of staying neutral and professional when faced with difficulties.
