Penerangan Pekerjaan - Assistant Manager - Events - Malaysia

Position Description: -

  • Clearly understand the Demand Generation (planning & execution) and wider HN event & campaigns objectives, plus research internal and external insights, to develop a need-based events strategy, ensuring that our events programme clearly demonstrates delivery against our key KPIs.
  • Lead with innovation and creative thinking to both the strategic and execution models
  • Lead the end to end organisation and management of all Demand Generation (planning & execution) events across all aspects.
  • Create evaluation matrix and briefing documents
  • For events outside of Demand Generation, lead & collaborate with other department colleagues, to build 
  • and implement a self-serve model, including pre event evaluation, planning, streamlined processes, reporting and evaluation
  • Lead and work with GSS, Metrics, FP&A, Finance and Sales communication teams to deliver pre event and post event 
  • campaigns to drive awareness and increase reach/impact
  • Lead and manage budget successful and be cost-effective, paying attention to budget and time constraints
  • Manage the development and use of databases and own events management tools 
  • Some local & regional travel with occasional nights working away from home should be expected 
  • Actively seek high quality event opportunities to deliver business needs
  • Measurement and analysis of activity against pre-defined targets. Be able to draw conclusions and actively make recommendations to drive improvements
  • Produce weekly and monthly summaries for stakeholders
  • Create detailed quarterly report and annual forecast for FY budget planning
  • Source and negotiate with vendors and suppliers 
  • Approve all aspects before the event including approval from GSS, Sales Director, Legal & Country GM where required 
  • Manage all email communication, and monitoring effects of call to actions
  • Pro-actively seek opportunities to gain knowledge of each area of the business
  • Ensure compliance of any data
  • Identify any areas of risk, controls needed and flag to risk champion. Actively manage these to conclusion
  • Ensure Health and Safety requirements are adhered to and certificates for events are secured as needed ( Events & Country Vacations)
  • Work on all the event coordination alongside existing and new suppliers and agencies
  • Evaluating the effectiveness of events based on attendance statistics and feedback from attendees
  • Coordinating all aspects of an event to ensure that it meets all requirements and deadlines
  • Resolving issues during an event by communicating with event staff, management team members & vendors
  • Managing budgets, timelines, and staff to ensure that events are successful
  • Produce detailed proposals for events (including timelines, venues, suppliers, legal obligations, staffing and budgets)
  • Research venues, suppliers and contractors, then negotiate prices and hire
  • Manage and coordinate suppliers and all event logistics 
  • Manage all pre-event planning & organising internal team meeting & guest speakers briefing
  • Coordinate internal team & vendors and troubleshoot on the day of the event to ensure that all runs smoothly and to budget
  • Manage a team of staff, giving full briefings
  • Make sure that insurance, legal, health and safety obligations are followed
  • Produce post-event evaluation to inform future events
  • Research opportunities for new clients and events.

 

Additional Duties during events:

  • Lead in planning & reviewing audition material.
  • Maintains and manages rehearsal calendar & schedules for President’s team, Guest Speakers & Panellists.
  • Lead & assists in overseeing technical run-throughs directly.
  • Oversees the organization and design of the stage prior to event.
  • Addresses and resolves any technical difficulties during rehearsals and performances.
  • Provides stage directions and cues during rehearsals and performances as necessary.
  • Maintains log of daily rehearsal activity, script changes, and official performances.
  • Ensure that all technical details are executed safely.
  • At least 6 8 years of experience of managerial experience, preferably in direct selling or MLM or Customer Service and / or Sales, Marketing environment (eg. Hospitality, courier services, banking, airline)
  • Organized with excellent time-management skills, strong leadership and with good problem solving skills
  • Good tri-lingual communication skills English, Chinese and Malay
  • Excellent interpersonal skills, able to work effectively across all levels of the organization.
  • Flexibility with long working hours is important-ability to work in occasional weekends and holidays. Must be able to travel internationally as deemed required.
  • Computer literacy (Word/Excel/Powerpoint)
  • Able to operate well and manage effectively in a matrix organization
