Job Description:
- Responsible for overseeing and ensuring the smooth and efficient operation of the office, fostering a productive and positive work environment for employees
- Provide support and handle all facility management matters such as but not limited to defect management, access card / QR system, Closed-Circuit Television system etc
- Drive workspace planning and support in office restack plans
- Manage fire evacuation and Safe Management Measures at the workplace
- Act as the liaison with Building Management regarding maintenance and other facilities-related matters
- Assist internal teams with event venue bookings and ensure smooth logistics for events
- Manage relationships with external vendors, suppliers and service providers, overseeing the services rendered and conducting necessary checks and audits
- Perform routine office checks to ensure employees adopt and utilize office best practices
- Manage office's running expenses and budget effectively
- Procure necessary office supplies, food & beverage, stationery, and equipment in compliance with the procurement and contract policy
- Ensure timely updates on intranet on all office matters (e.g. Safe Management Measures, work arrangements, office best practices etc)
- Respond promptly and professionally to all employees' requests or queries
- Generate operational reports which include but not limited to office running cost, seating reports etc
- Attend to emergency calls and site attendance, as required
- Provide support for Business Continuity Plan when necessary
Requirements:
- Bachelor's degree holder with at least 3-5 years of relevant experience preferred (Diploma holders with relevant experience are welcome to apply)
- Possess strong interpersonal and communication skills for internal and external stakeholder management
- Critical problem solver with good attention to details, ability to thrive in a dynamic environment and adaptable
- Fast learner with excellent time management skills and ability to prioritize work
- Positive and collaborative attitude
- Proficient in Microsoft Office and Google Workspace
- Knowledge and experience in Fire Safety Management / Building Green Mark and/or Air-conditioning and Mechanical Ventilation (ACMV) system will be an added advantage.
