Job SummaryWe are looking for Human Resources and Admin Executive toorganise, implement and monitor various measurements to optimise Company workforce in relation to recruitment, compensation and benefits, occupation health and safety, and training development. While some of your work is administrative, you will be also be involved in administative tasks such as filling and documentation, handling hotel inquiry, claim verification, coordinating events etc..ResponsibilityYour duties are, but not limited to:1.Recruitment, Confirmation and Termination of Service1.1 Organise various recruitment works as to fulfil Company manpower demand.1.2 Screen, shortlist and select (shortlist) suitable applicants and arrange for interview.1.3 Conduct interview to select and match suitable candidates for respective vacancies.1.4 Prepare Employment Letter for successful applicants.1.5 Ensure every successful applicant confirm his / her employment acceptance by signature endorsement and return the duplicate copy back for Company retain.1.6 Prepare Probationary Report and follow up with respective Head of Department for his probationary employee evaluation on confirmation.1.7 Prepare relevant documents and Confirmation Letter for employee who has completed probationary period with satisfactory results.1.8 Prepare Letter of Acceptance for staff that submits Resignation Letter.1.9 Prepare Termination Letter to employee who is terminated by the Company.1.10 Liaise with relevant government agencies in relation to the foreign workers working permits.2. Compensation and Benefits2.1 Prepare and verify the payroll and banking in employees’ monthly pay.2.2 Prepare and verify the employees’ KWSP, SOCSO, EIS, PCB and other statutory contributions as required by the government.2.3 Liaise with relevant government agencies in relation to payroll affairs.2.4 Organise, coordinate and follow-up on employees’ appraisal exercises.2.5 Implement, supervise and control necessary adjustments on appraisal exercise so as to improve employee work performance.2.6 Liaise with relevant government agencies in relation to labour compensation affairs.2.7 Assist in planning, organising staff events and activities to strengthen employer-employee relationship.2.8 Introduce various types of benefits and incentives to retain employees.2.9 Organise, supervise and monitor staff security and welfare activities. 3. Employees Disciplinary Actions3.1 Assist to handle employees dispute, disciplinary problems and propose to Company an appropriate course of action.3.2 Investigate the facts in Record of Complaint that filed by Head of Department. 3.3 Assist to conduct Domestic Inquiry for disciplinary cases that require fair and justice judgement.3.4 Issue Reminder Letter (or Warning Letter) to guilty employee whom in junior position upon the advice by Human Resources Manager.3.5 Ensure all disciplinary action taken comply with relevant aspects of the law.4. System and Records4.1 Maintain systematic records and filings employees attendance record, annually leave record, medical leave record and other human resources related records.4.2 Prepare and verify human resources reports to the superior periodically.4.3 Prepare and verify EA Form and other documentations as required by the government in submission.4.4 Coordinate and keep proper records in relation to departmental administrative matters.5. Training Development5.1 Conduct Induction Program and Orientation for new employee.5.2 Organise staff training and development programs by conducting Training Need Analyssi and Yearly Training Plan.5.3 Liaise with training providers and coordinate all the training program. 5.4 Conduct post training evaluation programmes effectively as to achieve its objectives.6. Administration Handling6.1 Ensure the cleanliness of the office and office equipment in working conditions.6.2 Monitor the sundry and stationary stock is sufficient stocks.6.3 Handle general administrative documentation and verify staff claims.6.4 Monitor working tool and office equipment handling. 6.5 Assist in secretarial duties such as typing, intra and inter department correspondence as well as coordination works.
