Job Details

Reporting to the Head of National 

 

Main Purpose

Responsible for the administrative and support duties of the National School. The position will work with the Heads, teachers, and other departments to ensure that the administrative works and support are completed promptly and efficiently.

 

Roles & Responsibilities

1. Perform administrative duties such as:

  • internal and external examination analysis for national school.
  • Checklist (finalized): Exam paper submission & collection, Exam Forecast (TOV)
  • Reports: Post-Mortem, EMS report submission and collection

 

  • teacher relief matter - MC/Emergency leave and events
  • Planning: Relief duties (daily)
  • Arrangement for relief teachers
  • Compile relief packs
  • Provide teachers with zoom link in Seesaw/ LMS /GC
  • Report: relief report on a monthly basis (no of teachers, % of teachers’ absentee)

 

  • students attendance matter
  • creates a common spreadsheet
  • key in daily number of attendance
  • students' attendance report on a monthly basis.

 

  • School academic calendar
  • plan and draft out the school academic calendar with the Principal and Head of Schools before commencement of the new academic year.
  • liaise with all departments: Academic, school events, exam unit and marketing events

 

  • Timetable planning and Setting
  • Generate class and teachers’ timetable
  • Teachers’ duty schedule: morning/dismissal, break/lunch duty
  • Venue booking and allocation : all schools, with sports team, marketing team, Exam unit, facilities team and academic team

 

  • surveys conducted by school
  • Create forms
  • carry out and analyse parents’ and students’ evaluations.
  • Checking surveys conducted by school (e.g. RTK test, Health and declaration, Consent forms, immunization,Mode of Learning (MOL) etc Coordinate with homeroom tutors
  • update and maintain booklist/ teaching resources of school by liaising with teachers and librarian.

 

  • Maintain a record of teaching aids.
  • inventory listing: ICT lab, Sc labs, library books, D&T room, music room, dancing room and sport’s store room
  • Liaising with librarian for book purchasing purposes
  • LMS Administrator - Seesaw/Google Classroom/Education Perfect (assigning students/classes/teachers) Managing LMS

 

2. Record and monitor budget of academic department and keeping Head of National informed of the spending every 3 months.

 

3. Organize and prepare minutes of school meetings.

 

4. Provide support in the area of teacher-parent/ student communication.

 

5. Work with Heads to identify training needs among teachers and develop training modules with Heads and teachers for staff and students.

 

6. Keep track of required training programs for teachers.

  • liaise with HR to raise TNF
  • collect training materials from the participants

 

7. Be the organizing committee for students’ orientation, Parents-Teachers Conference Day and Graduation Ceremony.

 

8. Other duties as and when required by the Head of National/ Campus Principal.

 

Please note that this is illustrative of the general nature and level of responsibility of the role. It is not a comprehensive list of all tasks that the Academic Coordinator will carry out. The post holder may be required to do other duties appropriate to the level of the role, as reasonably requested and agreed with the Head of National.

 

Requirements:

 

  • At least a Diploma holder
  • In-depth understanding on national school capacity.
  • 1 year of work experience in similar capacity.
  • Strong ability in data analysis and computer skills especially Microsoft Excel.
  • Possess communication and administrative skills.
  • Proficient in English and Bahasa Melayu.
  • Ability to communicate effectively with all levels and disseminate instructions and information precisely yet clearly.
  • Pleasant and approachable with friendly disposition especially towards parents and students.
  • Able to ensure privacy and confidentiality of matters when required.
