Job Overview: 

  • An Accounts & Administration Executive is responsible for managing financial transactions, and maintaining and supporting administrative tasks. 
  • This individual needs to be meticulous and must be strong in analysing data/numbers. Meeting all timelines is very crucial for this role, this individual must be willing to do whatever it takes to ensure that all deadlines are met. 

 

Key Responsibilities:

A) Financial Management 

1. Accounting and Bookkeeping

  • Record and categorize financial transactions, including sales, expenses, and invoices.
  • Maintain accurate and up-to-date financial records using accounting software.

2. Financial Reporting

  • Prepare financial statements, including profit and loss statements and balance sheets.
  • Generate financial reports for management review.

3. Budgeting and Forecasting

  • Assist in the creation and monitoring of budgets.
  • Contribute to financial forecasting and planning for the retail business.

4. Accounts Payable and Receivable

  • Manage accounts payable and receivable, ensuring timely payment of bills and collection of payments.
  • Reconcile accounts and resolve any discrepancies.

5. Compliance

  • Assist in the completion of financial audits and assessments.

6. Audit Stocks

  • Random stock take to verify physical stock quantities  

 

B) Administrative Functions

1. Office Management

  • Oversee general office management tasks, including maintaining office supplies, equipment, and facilities.
  • Coordinate with vendors and service providers.

2. Data Entry and Documentation

  • Accurately input and manage data related to sales, customers and inventory.
  • Maintain organized records, both digital and physical.

3. HR Support

  • Assist in HR-related functions, such as payroll. 
  • Coordinate employee schedules or attendance records as needed.

4. Customer Support

  • Provide administrative support for customer inquiries, returns, and complaints.
  • Address customer issues professionally and efficiently.

5. Logistics Support

  • Arrange logistics, such as courier, air freight and shipping.  

6. Document Preparation

  • Create and format business documents, presentations, and reports.
  • Assist in the preparation of contracts and agreements.

 

Qualifications:

  • Professional certificate, diploma or degree in finance, accounting, business administration, or a related field.
  • Proven experience in financial management, accounting, or administration.
  • Experience in the retail industry is a plus.
  • Proficiency in accounting software and financial tools.
  • Excellent organizational and time management skills.
  • Attention to detail and accuracy in financial and administrative tasks.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Knowledge of HR processes and office management is a plus.
  • Effective communication and interpersonal skills.
  • Adaptability and the ability to work in a fast-paced retail environment.
