Job Purpose:
- To provide comprehensive administrative and financial support to the organization, ensuring
efficient operations and compliance with financial regulations.
Key Responsibilities: - Administrative Duties:Office Management: Oversee daily office operations, manage office supplies, and maintain
office equipment. - Documentation: Prepare and manage official documents, correspondence, and reports to support business operations.
- Scheduling and Meetings: Arrange meetings, manage calendars, and provide necessary logistical support for staff and external partners.
- Communications: Serve as a point of contact for internal and external stakeholders, managing incoming calls and correspondence.
Financial Duties: - Proposal and Invoice: Prepare and issue proposal, invoice and other documents to client.
- Follow-up with client for the status of project.
- Accounting and Bookkeeping: Maintain accurate books, including ledgers, journals, receipts, and invoices.
- Budgeting: Assist in the preparation of annual budgets, monitor expenditures, and report variances.
- Financial Reporting: Prepare monthly, quarterly, and annual financial reports for review by management.
- Audit Support: Coordinate with auditors to facilitate the auditing process, ensuring adherence to financial laws and regulations.
Compliance: - Regulatory Compliance: Stay updated with financial regulations and ensure the organization complies with statutory legislation.
- Policy Enforcement: Implement and monitor the organization's internal policies relating to finance and administration.
Skills and Qualifications: - Diploma in Business Administration, Finance, Accounting, or a related field.
- Proven experience in an administrative and financial role.
- Strong organizational and time management skills.
- Proficiency in financial software and Microsoft Office Suite.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
